Key Purpose
The Facility Coordinator is responsible for scheduling preventative maintenance, managing accounts payable, coordinating vendor visits, and supporting the Facilities Team on-site as a whole. The team comprises of engineering, janitorial, mailroom, and reception. The coordinator will support these groups and any other duties assigned by the Facility Manager to maintain an efficient and smooth operation.

Key Areas of Collaboration and Influence
  • Support site team and report directly to the Facility Manager
  • Effectively communicate with colleagues within the business unit and across the company so that information is disseminated effectively
  • Participate in project groups and meetings as required

Candidate Experience & Knowledge
  • 5+ years’ experience in office services
  • Microsoft Office – Advanced Outlook, Excel, Word, PowerPoint, Access
  • Knowledge of Facility Management Software
  • Ability to effectively communicate orally and in writing
  • Willing to welcome, execute, and assist in promoting new business opportunities
  • Possess basic reading, writing, and mathematical skills
  • Follow written and verbal instructions from leadership
  • Be able to work and interact with all levels of management, vendors, and contractors

Primary Accountability
  • Coordinate daily requirements and requests to operate and facilitate office services for the company
  • Restack coordination, including but not limited to, space planning, moves, weekly construction meetings, liaison to vendors/contractors and numerous other tasks
  • Set up and supervision of all office service vendors (e.g. Ricoh, Xerox, CINTAS, etc.)
  • Populate and maintain facility software database
  • Update floor plans using facility software
  • Code invoices for approval to correct cost centers and process for payment
  • Maintain monthly budget reporting
  • Uphold inventory levels of kitchen and office supplies
  • Oversee mail distribution with – and/or through - 3rd party vendor
  • Oversee and/or coordinate projects required by the Facilities Department

Work Environment & Physical Requirements
  • Sitting at a computer for around 80% of the time
  • Site walks and audits around 20% of the time
  • Must be able to lift a minimum of 10 pounds
  • Must be able to work in a fast paced, demanding atmosphere with tight deadlines during peak periods
