Finance Manager

Position Description

The Mediation Center of Dutchess County (MCDC), a community mediation center in
Poughkeepsie, NY, is seeking a Finance Manager. The position is part-time, 24-28 hours per week, and is eligible for benefits. A flexible schedule along with remote and/or hybrid options are possible. This is an ideal position for an experienced nonprofit finance professional seeking a work-life balance.

Summary
The Finance Manager provides administrative support for all aspects of the MCDC’s finance, human resource and contractual activities. The Finance Manager is responsible for financial tracking, reporting and audit activities, human resource administration, grant-funded contracts and compliance, budget development and projections, creating contract proposals, financial record-keeping, development and reporting activities.

  • Is proficient in Quickbooks;
  • Has experience in developing budgets and tracking cost allocations by program;
  • Experience in preparing fiscal reports for grants (private foundations), contracts (state, county, fee-for-service), and monthly Board meetings;
  • Is proficient in Microsoft Office (Excel, Word), Google Workspace (Sheets, Docs, Gmail), and Adobe Acrobat;
  • Ability to learn additional databases and software (e.g. Little Green Light, Stripe, Square, etc.);
  • Has the ability to use sound judgment in setting priorities, fulfilling responsibilities, and organizing workload with minimal supervision;
  • Can manage simultaneous ongoing projects and handling competing deadlines;
  • Ability to work independently and part of a team.

Essential Job Functions

Financial Operations

  • Develop annual agency and program budgets, amendments and analysis, in conjunction with Executive Director;
  • Prepare monthly financial reports for Executive Director, Finance/HR Committee, Board of Directors and funding sources as required for Board meetings, by contracts, and by funders. Prepare periodic financial analysis, monitor and manage cash flow;
  • Prepare monthly and/or quarterly vouchers and reconciliation reports;
  • Manage agency audit process, including bid process, liaison with audit committee and coordination of independent, county and state audits;
  • Develop and maintain sound and current financial management systems and written procedures and ensure financial policies and procedures are followed;
  • Record and manage accounts payable, accounts receivable, bank deposits and bank statement reconciliation;
  • Ensure contract compliance and timely reporting;
  • Provide support to Executive Director for organizational financial planning;
  • Procure and oversee adequate insurance coverage (general liability, D&O, Worker’s Compensation and Disability).

Personnel Administration

  • Oversee agency payroll and benefits procurement and administration;
  • Manage agency benefits package and stay up-to-date on developments in human resources and benefits issues/options;
  • Serve as the primary liaison between MCDC and the contracted professional employer organization (PEO);
  • Ensure accurate and complete personnel-related record-keeping and personnel files.

Reports to: Executive Director

Salary: Compensation is competitive and based upon experience. Generous benefits package including PTO, paid Holidays, life insurance, FSA, along with medical, dental, and vision coverage. MCDC is an eligible employer for those in the Public Student Loan Forgiveness
Program.
