Front Desk/Billing Clerk Job at Newkirk Electric
Position Summary
We are looking for a full-time Billing Clerk for our Comstock Park, MI office. This position will provide high-level administrative support by performing billing functions while receiving visitors and operating the switchboard. Work with Project Managers, Supervisors and Customers to prepare accurate and timely customer billing.
Job Duties
- Answer business telephone and greet visitors and determine whether they should be given access to specific individuals.
- Open and date stamp daily mail.
- Order and stock office supplies.
- Set up new jobs and sections in ERP system (COINS).
- Prepare timely and accurate billing for customers.
- Prepare lien waivers as required by customers.
- Communicate billing status to Project Managers and Supervisors.
- Provide customer support for billing inquiries
- Monitor customer payment and assist with the collection of late payments.
- File appropriate documents (i.e., Billing invoices, Requisitions, Sales tax exemption certificates, Lien waivers, Contracts, Change orders, etc.) in COINS.
- Help maintain accurate customer information in COINS.
- Prepare daily/weekly/monthly reports required by customers and management.
- Assist with any process improvement initiatives.
- Any other duties assigned by management.

- Understand multiple billing methods in order to assist other billing clerks during times of need

- Strong customer service skills (i.e., patience, attentiveness, use positive language, good listener, etc.)
- Strong computer skills including experience with accounting software (currently COINS), Microsoft Word, Excel, and Outlook and any other software that may be utilized in the accounting department
- Knowledge of effective accounting practices
- Some knowledge of electrical materials, equipment, and procedures to be able to effectively communicate with Project Managers and Technicians regarding jobs, quotes, or billing
- Ability to establish and maintain effective working relationships with those contacted in the course of your work
