Overview:
Performs a variety of front office tasks in outpatient, physical and hand therapy clinic settings to ensure efficient and effective treatment of patients while ensuring appropriate and accurate billing and scheduling processes in accordance with current policies, practices, and procedures. The Therapy Front Office Manager is responsible for new Front Desk & Precert Specialist training and serving as a resource
to their assigned clinics and the respective Front Desk and Precert Specialists. The Therapy Front Office Manager will work collaboratively with the with Regional Director of Therapy, to rollout new processes and updates for the Front Desk and Precert Specialists in their assigned clinics. The Therapy Front Office Manager is responsible for assisting their assigned clinics in promoting patient access, and maintaining a pleasant and consistent flow in daily operations. They will promote excellent customer service, and communication with fellow employees, business offices, and leadership teams. This position is responsible for supporting the mission, vision, and values of Upstream Rehabilitation and Beacon Orthopaedics & Sports Medicine. This position supervises direct and indirect reports.
Responsibilities:
  • Generates weekly reports and exports to excel spreadsheets.
  • Monitors key performance indicators and communicates weekly to Front Office, Precert Specialists, Directors, Regional Director and Associate VP.
  • Serves as a resource for report metrics and explanation.
  • Synthesizes and distributes information from Regional Director to Front Office at assigned clinics.
  • Hosts informational and educational conference calls/team meetings with front office monthly.
  • Responsible for disseminating any updates, reeducation, or new training to Front Office and Precert Specialist at assigned clinics.
  • Attends weekly Regional Director meetings.
  • Provides training and education for new hire Front Office and Precert Specialist.
  • Holds Front Office informational and education conferences quarterly and yearly.
  • Completes quarterly check-ins to aid as support and facilitate reeducation.
  • Communicates training status, including achievements and challenges to the Clinic Manager and Director.
  • Provides additional follow-up training and/or training on changes to procedures as requested.
  • Assists with Front Office interviews.
  • Serves as a resource, mentor and coach to the Front Office at assigned clinics.
  • Assists Front Office with questions or concerns related to the position.
  • Facilitates open and positive communication between the Clinic Manager/Director and Front Office for each clinic assigned.
  • Provides coverage as needed.
  • Other duties as assigned.
Qualifications:
  • High School Diploma, GED, or equivalent experience required.
  • Minimum of 1 year of experience as a Therapy Front Office preferred.
  • Excellent customer service and communication skills.
  • Ability to multitask and work effectively in a dynamic environment.
  • Strong organizational skills and attention to detail.
  • Ability to meet deadlines.
  • Ability to work with little to no supervision.
  • Ability to work effectively as a team.
  • Developed time management skills.
  • Proficient with Microsoft Office Suite or related software.
  • Ability to travel based on territory needs.
