This position is 24 hours per week. Scheduled days can be worked out with Legal Counsel.

BASIC FUNCTION:

Support the FWCS General Counsel in a confidential work setting with a variety of administrative legal duties, including coordination of subpoena activity district-wide; organization of case activity and legal affairs; management of legal correspondence; scheduling and coordination of meetings; processing of legal bills and finances; and other clerical and paralegal functions.

QUALIFICATIONS:

Any combination equivalent to: graduation from high school supplemented by college-level course work in business or related field and five years of increasingly responsible secretarial or administrative assistant experience, with two years of paralegal or legal assistant experience strongly preferred. The employee must be highly proficient in Microsoft Office and possess strong oral and written communication skills. Must be highly organized.

ESSENTIAL FUNCTIONS:

Coordinate the FWCS response to all subpoena activity district-wide, including the processing of external subpoenas, warrants and other court orders by recording them and communicating with law firms, lawyers, FWCS employees and the General Counsel. The Specialist is responsible for responding to all subpoenas that request documentary evidence by requesting applicable production fees, collecting responsive documents or materials, and sending the documentary evidence to the soliciting lawyer or firm. The Specialist will keep FWCS employees apprised of court dates for subpoenas that require witness testimony.

Organize, track, and document legal activity for pending litigation, including lawsuits and governmental agency complaints from the Office of Civil Rights, the Metropolitan Human Relations Commission, the Equal Employment Opportunity Commission, the Indiana Department of Education Special Education Department, and other governmental agencies.

Communicate with stakeholders about approaching deadlines and will assist the General Counsel with the collection of documentary evidence that relates to pending litigation and legal activity. The Specialist shall be responsible for various legal record keeping and documentation obligations, including the preparation of exhibits.

Manage all legal correspondence with FWCS employees, parents/guardians and attorneys/law firms. He or she will greet and assist visitors; receive, screen and route telephone calls; respond to requests, complaints and questions from staff, parents and the public; represent the General Counsel by phone and written communication; exercise independent judgment in resolving a variety of issues, complaints and problems; research, investigate and compile information regarding parent concerns; refer difficult issues to the General Counsel; communicate the General Counsel’s instructions to students, parents and staff.

Coordinate meetings, appointments, special events and other activities with FWCS staff and external parities. Coordinate travel and conference arrangements and reservations for the General Counsel.

Monitor the finances and budget of the FWCS Legal Department by processing all FWCS legal bills; preparing and processing purchase orders, invoices and requisitions; arranging for payments; calculating, preparing and revising accounting and budgetary data; balancing, monitoring and updating accounts and budgets with income and expenditures; preparing and processing payroll information; identifying and resolving discrepancies; detecting account errors and making corrections.

Assure proper and timely completion of various office projects and activities while performing a variety of clerical and paralegal functions. This will require the prioritization and organization of the workload of the Legal Department.

Support the General Counsel by drafting legal letters or other documents, or by responding to formal discovery requests, notices, interrogatories or motions. The Specialist will receive, sort and distribute incoming correspondence; review and determine priority mail of incoming mail; compile and type inter-office communications, forms, letters, memoranda, agenda items, lists, schedules, fliers, notices, requests, agreements, contracts and other materials; format, edit, proofread and revise materials; contact others to request documents as needed.

Research, compile, verify, input and update a variety of information in an assigned computer system; perform special projects and prepare, process and evaluate a variety of forms, applications and paperwork; duplicate, assemble, distribute, collect, verify and assure accuracy and completeness of various documents; assure mandated reports are completed in accordance with established time lines and requirements; establish and maintain various automated records and files; establish and maintain filing systems; develop spreadsheets and generate a variety of computerized lists and reports; contact others to request documents as needed.

Perform related duties as assigned by the General Counsel to meet the particular needs of the Legal Department or broader district.

While performing the duties of this job the incumbent is seated or walking at will and must be able to push, pull, lift and carry up to 25 pounds.
