I. Summary of the main function/purpose of the position:
The job purpose of Dispatch is to set the expectation for the day with the housekeeping staff, promoting a safe environment and quality service to achieve maximum guest satisfaction. Coordinating all aspects of the day-to-day operations.
II. Key Principal duties/responsibilities (5-8):
Conducts pre-arrival reports assign units to housekeepers, QA’s, and Housemen.
Upholds the highest standards of professionalism when answering the phone and addressing issues with other departments
Coordinates all daily schedules within the department and other departments.
Monitors, all emails sent by QA’s and other departments address any issues with emails from QA’s.
Works closely with the Assistant Manager and Housekeeping Manager with payroll, redo deductions and daily production index.
Conducts daily line-up with the team goes over opportunities for improvement with staff.
Knowledge of OSHA and safety standards within Housekeeping department;
Assist with setting up interviews for new housekeeping QA’s and Housemen staff;
Ensures proper reporting in emails on a daily basis (review an SOP at daily line-ups on a rotation basis) with QA’s and Housemen;
Develops and implements quality control reporting and ensure that the department meets Premier's Standards;
Planning, organizing and directing team members to ensure the highest degree of guest satisfaction;
Continually seeks to develop housekeeping policies and procedures to improve the current operation.
Provide weekly schedules for all of the housekeeping department.
Must answer all emails with a standard level of professionalism.
Coordinate all assignments with Room Attendants, QA’s, and Housemen.
III. Accountability: Areas in which the position is accountable/responsible:
Records:This position is responsible for maintaining up-to-date employee files which may include personal information. These files are to remain locked and secure at all times unless directed otherwise.
Safety: It is the responsibility of all employees and managers in this department to make sure that the work environment at Portofino is a safe and welcoming environment. All safety and security concerns need to be reported and addressed immediately. The Property Inspector is directly responsible for implementing safety protocols for daily operations. These protocols are to be incorporated into the training program, inspected regularly, and revised when necessary. Also required will be to develop a step-by-step instruction/guideline for guest and employee accidents/incidents.
Customer Service: All employees of premier Island Management Group are expected to show great levels of customer service and ensure superior customer service and guest satisfaction and comfort.
Dept. Specific:Supervise the daily operations of the housekeeping staff. This position will be responsible for many of the operational procedures and policies of the department. Holds Housekeeping employees accountable in all aspects of the job. This may involve disciplinary actions or employee termination.
IV. Supervisory Responsibility:
This position is a supervisory position. Premier Island Management Group expects that this position fully enforce the rules, mission, vision and values, non-negotiables and expectations of the Company, as well as the Housekeeping Department, at all times. As one of the leaders in this department full compliance will be mandatory in order to lead effectively by example.
Required Knowledge/Skills/Job Qualifications:
- Previous experience managing a team of employees through motivation, coaching, and development;
- The ability to anticipate customer needs, change goals and direction quickly and multitask;
- Working knowledge of rooms management systems;
- Advanced knowledge of Housekeeping processes, procedures, and policies;
- Ability to maintain a budget;
- Proven excellence in customer service;
- Capable of using independent judgment/solid decision-making skills ability;
- Proven comfort and experience to interact effectively with all levels of management, employees, owners, and guests, both inside and outside of the organization;
- Activator/self-motivated to accomplish goals, with a strong sense of responsibility.
- Proficiency with general office PC applications (i.e. word processing, spreadsheets, databases);
- Demonstrated sound organization, coordinating and personal interface skills;
- Demonstrated excellent written and verbal communication skills;
- Proven job reliability, diligence, dedication and attention to detail;
- Must be flexible with working nights, weekends, and holidays;
