Position Summary
Provides administrative support for various regulatory and compliance initiatives and supports the recruitment and onboarding processes for Nurses and Physician Assistants.
Job Responsibilities
  • Monitors and maintains license and certification information for applicable clinical employees and assists with the credentialing of nursing applicants.
  • Participates in periodic employee file audits conducted in conjunction with the NYPH HR Department. Maintains database for the tracking of audit compliance and competency assessments. Files and organizes materials in personnel file.
  • Assists with the implementation of HR services and programs for nurses such as nurse orientation and nurse recognition events.
  • Assists with the launch and monitoring of all regulatory compliance initiatives i.e. Joint Commission, Article 28 and NYS Department of Health.
  • Responsible for the onboarding of volunteers; reviews and processes applications, schedules medical clearance physicals, emails approval notices to departments, and maintains volunteer information within a central database.
  • Coordinates administrative processes such as interview scheduling, candidate correspondence, and file maintenance for audits and regulatory compliance for nursing and clinical staff.
  • Coordinates the candidate pre-boarding and onboarding experience, assuring timely scheduling and completion. Completes references and ensures post offer background checks, medical clearances, and credentialing are complete.
  • Ensures all necessary information and paperwork is documented and stored appropriately and accurately in the HRIS and Recruiting & Onboarding management systems; maintains confidential records and information. Generates and/or creates reports.
  • Provides back up coverage for human resources reception desk.
  • May assist with maintaining personnel files and distributing materials received from for WCMC-Q HR Department as needed.
Education
  • High School Diploma
Experience
Approximately 2 years of related experience
Knowledge, Skills and Abilities
  • Demonstrated proficiency with MS Office Suite and database applications.
  • Excellent communication skills (both verbal and written).
  • Demonstrated organizational skills and ability to pay close attention to detail.
  • Ability to handle multiple simultaneous demands and prioritize work.
