POSITION OVERVIEW

The U.S. District Court for the Northern District of Illinois is recruiting for the position of an Inventory Specialist. This position provides support in the specialized areas of inventory, safekeeping, inspection, record maintenance, and reporting of physical inventory received and distributed. This position provides support to the District Court, Probation and Pretrial Services Offices, and reports directly to the Manager of Administrative Services of the District Court.


POSITION DUTIES AND RESPONSIBILITIES

  • Checks deliveries for inventory type, quantity, and condition for all equipment and furnishings as needed.
  • Maintains file copies of receiving and disposal documents for reconciliation purposes.
  • Maintains the inventory listing of property and records statistical information in an automated system.
  • Coordinates and performs the internal physical sighting/reconciliation for respective office(s) as required by Internal Controls and prepares a report for the Custodial Officer.
  • Ensures accountable items are bar coded and entered into an inventory database immediately.
  • Maintains established procedures (advertising to local, state, and federal agencies) to ensure compliance with internal control procedures as they relate to physical inventory.
  • Maintains inventory of equipment and furniture and provides inventory information. Issues inventory reports as required.
  • Confirms receipt of goods with appropriate court personnel to include Administrative Manager, IT Staff, Custodial Officer, Disposal Officer, Supervisors, and Managers.
  • Coordinates advertising of excess property.
  • Performs other duties as assigned.

JOB REQUIREMENTS AND QUALIFICATIONS

The ideal candidate is a self-directed, highly organized professional who is able to multi-task and balance the demands of a busy workload. The incumbent must be responsible and able to demonstrate and exercise good judgment and maintain confidentiality; demonstrate initiative in problem solving; be able to work harmoniously with a variety of staff at all levels of the organization; and maintain a professional demeanor and appearance at all times. The incumbent should also be able to communicate effectively (orally and in writing) with requesters and vendors, providing excellent customer services, and professionally resolving difficulties while strictly complying with all regulations, rules, and procedures of the judiciary while demonstrating sound ethics and judgment. Lifting of 25 pounds is required. Ability to recognize errors and their probable cause as they relate to the Court’s physical inventory of supplies and furnishings is required. This position is in Chicago, IL but has responsibilities at the Dirksen Courthouse and John C. Kluczynski Federal Building in Chicago, Stanley J. Roszkowski United States Courthouse in Rockford, IL, and the Probation Office in Lisle, IL. The successful candidate must be able to display a professional and positive demeanor and an appearance appropriate for a professional environment (business/office wear-professional). The selected candidate will be subject to an FBI fingerprint check as a condition of employment and may be subject to periodic updates.


Specialized experience is:

Progressively responsible clerical or administrative experience requiring the regular and recurring application of clerical procedures that demonstrate the ability to apply a body of rules, regulations, directives, or laws and involve the routine use of specialized terminology and automated software and equipment for word processing, data entry, or report generation. Such experience is commonly encountered in law firms, legal counsel offices, banking and credit firms, educational institutions, social service organizations, insurance companies, real estate and title offices, corporate headquarters, or human resources/payroll operations.

COMPENSATION

Compensation and classification level will be set based on the work experience, qualifications, and salary history of the successful candidate. To qualify at a CL 24, applicants must have one year of specialized experience equivalent to work at the CL 23. To qualify at a CL 25, applicants must have one year of specialized experience equivalent to work at the CL 24.
