The Procurement function is responsible for the strategic, holistic management of third party spend across Hogan Lovells globally.

Reporting to the Senior Manager of Procurement the Junior Procurement Specialist will support the daily operations and supplier sourcing activities utilizing best practices to promote consistent delivery of procurement services.
  • Vendor administration – Manage the onboarding, documentation and reporting related to suppliers.
  • Sourcing – Provide support for cost and value analysis and negotiations.
  • Customer Relationships – Develop and enhance relationships with firm stakeholders, business owners and third-party suppliers.
  • Supplier Management – Monitor supplier performance and support the implementation of standard procurement processes.
  • Reporting – Support the function’s reporting needs related to sourcing and suppliers.
  • Daily Operations – Support daily operations as required.
The role will have the following responsibilities:
Vendor Administration
  • Manage the onboarding tasks for third party suppliers.
  • Oversee the tasks related to vendor documentation inclusive of SOWs, Contracts, MSAs and other required supplier data (e.g. Supplier Code of Conduct).
  • Collaborate with contract owners to ensure compliance with global procurement supplier policies and process.
  • Conduct periodic reviews and updates of procurement technologies access to ensure appropriate active access.
Supplier Sourcing
  • Perform cost and value analysis.
  • Plan and drive procurement projects including conducting meetings and monitoring project timelines to accomplish department and project deliverables as directed.
  • Compile and analyze data in a meaningful manner to support sourcing activities and negotiations.
  • Provide periodic and ad hoc spend and market analysis and reporting in support of Global Procurement sourcing efforts.
  • Research suppliers to obtain pricing and specifications based on firm requirements.
Customer Relationship Management
  • Form and develop partnerships with stakeholders responsible for procurement within the firm.
  • Manage communication channels used for sharing key information including strategic plans, practice guidance, standard processes and templates.
Supplier Management
  • Ensure that appropriate supplier management methods are applied in a consistent manner for preferred suppliers.
  • Monitor the performance and delivery of goods and service from strategic suppliers per the firm’s supplier governance guidelines.
  • Support the management and reporting of KPIS locally, regionally or globally as required.
  • Ensure high quality and effective service delivery from vendors through the active management of third-party services inclusive of data reporting and SLAs compliance.

Reporting
  • Create and maintain standard KPI reports as directed.
  • Maintain tracking of Sourced savings and other key departmental data.
  • Create ad hoc reports as required.
  • Support Global Procurement reporting requirements for other functions including Sustainability and Responsible Business.
Daily Operations
  • Provide administrative support inclusive of, but not limited to, scheduling of appointments and monitoring of the departmental email account.
  • Update tracking databases/spreadsheets and other Procurement documentation regularly.
  • Support the creation of RFxs and the related communications as directed.
Miscellaneous
  • All members of the firm are expected to participate in the firm’s Responsible Business program.
  • Other duties as assigned.
QUALIFICATIONS
REQUIRED SKILLS
  • 2-3 years’ experience in Procurement Operations, Strategic Sourcing, Financial Analysis or Procurement Transformation.
  • Strong analytical and financial skills used to deliver actionable reports for business owners and firm leadership.
  • Demonstrated project management skills with experience leading successful process improvement efforts.
  • Ability to define problems, collect data, establish facts and draw valid conclusions.
  • Ability to apply common sense understanding to carry out instructions furnished in written or verbal form.
  • Self-motivated, proactive, independent, and responsive – requires reasonable supervisory attention once objectives are confirmed.
  • Strong service-oriented mindset with demonstrated ability to partner effectively with a variety of stakeholders to solve operational challenges.
  • Strong networking skills leveraged to build effective relationships quickly and efficiently across diverse stakeholder groups.
  • Strong ability to adapt to firm culture and values by focusing on services and service delivery to our partners, people and clients.
  • Effective communication skills, both verbal and written.
  • Proven ability to both manage and enable change.
EDUCATION, CERTIFICATIONS AND/OR EXPERIENCE
  • MBA preferred
  • Bachelor’s Degree or equivalent professional qualification/experience required
  • Procurement Strategy, Category Management and Sourcing experience required
  • Proven operations, services and vendor management experience required
  • Proven track record of leading global scope programs and projects preferred
HOURS
  • Core hours are Monday through Friday, 9:00 a.m. to 5:30 p.m., including lunch hour. Must be flexible to work additional hours.
