Gibson Dunn is looking for a Lead Team Receptionist/Client Services Coordinator to provide administrative support for our New York office.
The role reports to the Manager of Catering Department, Conference Center, Reception and Gibson Grounds Cafe.
Responsibilities include:
- Greet clients and visitors to the firm; notifying appropriate person of clients’ and visitors’ arrival.
- Answer a variety of general phone inquiries and refer to appropriate department or person for further assistance.
- Work closely with Conference Services and the Catering Coordinator to plan and coordinate on-site meetings, including menus, setup, staffing, and IT services.
- Facilitate visiting attorney office reservations.
- Maintain appearance of reception area.
- Administer parking account invoices and inquiries.
- Arrange taxi or car service for visitors.
- Maintain visitor’s handbook for all visiting offices.
- Maintain updated local office telephone list.
- Process pre-COVID forms.
- Process monthly reports.
- Make travel, hotel, and entertainment arrangements for guests and clients.
- Work directly with peers, and internal and external clients to solve business challenges.
- Other duties as assigned.
Qualifications:
- An outstanding telephone demeanor and strong interpersonal and customer service skills.
- Excellent grammar, punctuation, and spelling.
- Ability to communicate with diplomacy, professionalism, and courtesy to all internal and external clients, both verbally and in writing.
- Well-organized and able to efficiently produce error-free work product.
- Ability to “think on their feet” and use excellent judgment.
- Be proactive and able to manage administrative tasks in a timely manner with limited supervision.
- Strong attention-to-detail and the ability to prioritize multiple projects and problem solve, while remaining calm in deadline driven situations .
- Must be self-motivated, confident, and project a corporate image.
- Ability to promote a pleasant working environment that encourages teamwork.
- Proficiency and knowledge of a busy telephone console.
Experience:
- A high school diploma is required. College degree preferred.
- At least three (3) years’ previous receptionist/front office experience in a law firm or in a professional services environment.
- Required computer experience includes a high proficiency in Microsoft Word, Microsoft Excel and Microsoft PowerPoint (Microsoft Office 2010 preferred) and Windows 10, EMS and Room Scheduler.

_Compensation & Benefits:
The annual compensation range for this position is $65-75k. The salary offered within this range will depend upon qualifications and other operational considerations.
