The University of Washington Leadership Education in Adolescent Health (LEAH) program is an initiative of the Adolescent Medicine Division funded by a training grant from the federal Health Resources & Services Administration. LEAH trains physicians, social workers, nurses, psychologists, and nutritionists to be leaders in the field of adolescent health and is recognized nationally.

The Division of Adolescent Medicine has an outstanding opportunity for a LEAH Program Manager to join their team.

POSITION PURPOSE

The LEAH Program Manager independently manages all aspects of the LEAH fellowship and program activities, working directly under the vision of the LEAH Program Director and Adolescent Medicine Division Administrator. The LEAH Program Manager serves as the subject matter expert on the LEAH program and is required to make independent decisions to support overall program goals and strategies. This position must also utilize expertise and professional judgment to ensure compliance with policies from the department and the School of Medicine Dean’s Office.

The LEAH Program Manager supervises the LEAH Program Coordinator and builds relationships with LEAH faculty, department and division staff, students, and affiliates such as Seattle Children’s, SCRI, Fred Hutch, Heritage University, and LEAH affiliates outside of the UW program to drive program success. The LEAH Program Manager partners with other division staff to administer community education programs and establish a framework to sustain educational programs and research support. This position will also directly support the growing Adolescent Medicine division faculty with program and research support, maintaining the ability to complete required work and remain in compliance with regulations, faculty code, and university governance.

DUTIES AND RESPONSIBILITIES

Program Operations

  • Exercise independent judgment in interpreting and applying program procedures and federal grant regulations.
  • Manage the annual and progress report process through the Federal Agency Sponsor Website. Evaluate current data gathering and reporting methods, recommend improvements and help implement changes.
  • Plan, manage and execute two annual events: annual trainee orientation event and end of year celebration and presentation day.
  • Oversee administration of EDI taskforce meetings. Includes following up on action steps from EDI meetings, coordinating guest speakers, making suggestions to operational aspects of the committee and efficacy.
  • Manage LEAH reimbursements for speakers through the UW ARIBA system and oversee program purchases with the central Department finance team.

    LEAH Program Management

  • Oversee all program aspects of LEAH Curriculum for weekly seminar.
  • Build relationships with LEAH faculty leads, Directors and instructors to develop and implement the LEAH curriculum. Contribute to brainstorming ideas and speakers, implement seminar and program changes, lead communication with fellows and LEAH staff.
  • Oversee current grant requirements and program goals; work with Program Directors and Administrator to improve processes and suggest improvements for program areas, committees, and faculty meeting topics.
  • Manage administrative needs of Teen and Parent Advisory Board (TPAB) support. Manage communication with parents and teens meetings, oversee TPAB recruitment and retention strategies ensuring EDI principals are incorporated and into annual processes.
  • Delegate and initiate internal project timelines. Lead communication to fellows and faculty about leadership project deadlines and send reminders about leadership project deadlines.

    LEAH Program Development:


  • Schedule and attend quarterly meetings with LEAH WA DOH partners.
  • Make initial outreach and schedule quarterly meetings with AK DOH partners and Heritage University. Liaise with stakeholder partners and establish routine communication and opportunities for collaboration.
  • Serve as liaison between community partners and LEAH directors and faculty.
  • Lead and initiate communication about new and developing LEAH programs across department and hospital stakeholder groups. Develop written communication materials and author LEAH web pages.
  • Expand LEAH outreach communications and manage the development and distribution of a quarterly or bi-annual newsletter. With input from the LEAH Director and LEAH faculty, assemble content and distribution list. Collaborate closely with the Department of Pediatrics Communication Manager on University of Washington best practices and content ideas.

    ADO Division Program Management

  • Create and facilitate community engagement events related to adolescent health to build community networks, share resources, and improve access to appropriate care.
  • Create and manage a division community engagement toolkit.
  • Develop training for community providers about adolescent health care. Establish connections between community providers and division staff to ensure sustainability.
  • Manage recurring research faculty meeting series, collaborate with Division Chief to create meeting schedules and develop content. Support division faculty in research partnership switch other members of the Department of Pediatrics and aid division faculty in identifying funding opportunities and learning/training opportunities available throughout the area.
  • Collaborate with the Division Chief and Administrator in identifying, developing, and deploying new ADO division strategies for faculty onboarding/exiting and the faculty promotion process.

    MINIMUM REQUIREMENTS


  • Bachelor's degree in business administration or healthcare related field or equivalent experience.
  • 3 years' experience in program operations in complex organizations.


    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

    ADDITIONAL REQUIREMENTS

  • Strong computer skills, including proficiency in using Outlook and other Microsoft Office applications.
  • Experience with scheduling and hosting UW Zoom meetings and WebEx or Teams meetings.
  • Ability to communicate effectively, verbally and in writing, with university staff, faculty, students, and constituents.
  • Demonstrates attention to customer service providing timely and accurate administrative support to faculty; strong team collaboration skills; exceptional problem resolution skills; and the ability to work independently.
  • Demonstrates ability to organize and prioritize multiple tasks and work effectively under pressure of overlapping deadlines.

    DESIRED QUALIFICATIONS

  • MPH or master’s degree in healthcare related field.
  • Experience managing research projects or grants.
