We provide on-ground reproductive health care, health education and advocacy from our five health centers in
Alhambra, Baldwin Park, Glendora, Highland Park, and Pasadena. We strive to ensure the sexual and reproductive health services we provide are in line with the needs of the communities we serve. Our service area extends from Glendora to Glendale and from the San Gabriel Mountains to the San Bernardino freeway, home to 24 communities and a diverse population of 1.4 million people.
This position is responsible for the smooth and effective functioning of the Office of the President & CEO.
In this role, you will make a difference while you:
- Manage processes that support and enable the President & CEO to be as effective as possible. Provide administrative and project support to General Counsel as well.
- Manage the Administrative Assistant of the Executive Office with their responsibilities of supporting the executive office, this includes scheduling and coordinating across parties.
- Prioritize, manage, and support internal and external obligations, time-sensitive projects, with a developed knowledge of the President & CEO’s strategic priorities and preferences.
- Manage CEO’s email to ensure timely action on requests, support drafting of emails, loop in key internal stakeholders and general inbox management.
- Anticipate needs for collaboration between President & CEO with General Counsel and VP of Communications.
- Support activities related to major donor relations in partnership with the development staff, including scheduling, follow up and attending weekly meetings with key development staff and partnering on ongoing communication with donors.
- Ensure smooth relationships with advocacy and community partners.
- Create and manage communications and collateral material for President/CEO to include writing the CEO’s monthly report to the Board of Directors, managing collection of departmental and organization-wide updates, LinkedIn posts and donor communications.
- Represent the Office of the President & CEO internally and externally to stakeholders.
- Manage the LinkedIn page for President & CEO.
- Partner with VP of Communications for internal and external communications.
- Support Leadership Team meetings with note-taking, meeting coordination and logistics, agenda creation.
- Support Medical Leadership meetings with note-taking.
- Attend Planned Parenthood Admin Council meetings and develop relationships across PPFA
- Partner with Board Liaison to support our Board of Directors, including communication with members, creating Board calendar and ensuring all board responsibilities are completed.
- Maintain Board records and information; facilitate the dissemination of information to internal and external stakeholders as needed.
- Create CEO presentations and deliverables to include regular updates, midyear report, previous year look-back and upcoming year plan.
- Partner with Board Liaison to fulfill both state compliance requirements and PPFA accreditation requirements for the Executive Office and Board of Directors.
- Manage projects for President & CEO and Leadership Team that may include research, data collection, analysis, and reporting that support the goals and objectives of the Executive Office, Leadership Team, and/or Board of Directors.
- Create, plan, and execute special events that support the goals and objectives of the Executive Office.
- Perform other duties as assigned.

We are looking for someone with the following qualifications:
- Education:
- Bachelor’s Degree with a strong understanding of nonprofit administration or equivalent experience.
- Experience:
- Three to five years’ experience in executive assistance with demonstrated professionalism and the ability to work with donors and high-level board/government officials.
- Other:
- Proven office management skills
- Excellent oral and written skills and high attention to detail
- Strong Microsoft Office application skills including Word, Excel and PowerPoint
- Ability to partner well with others to accomplish projects
- Demonstrated poise, discretion and diplomacy
- Demonstrated ability to work independently and to anticipate need and determine solutions to problems
- Ability to maintain a high degree of confidentiality and integrity
- Ability to prioritize several projects at once as well as multi-phase projects and meet deadlines

- Starting salary for this position is 73k/year (negotiable DOE)
