MEDICAL IMAGING SECRETARY - MEDICAL IMAGING DEPARTMENT Job at Johnson Memorial Hospital
SCHEDULE: Monday - Friday, 8:30 a.m. - 4:30 p.m., 75 hours per pay period
JOB RESPONSIBILITIES:
Essential Functions (*) %of Time
- Assembles and maintains patient record materials according to department needs. * (5%)
- Answer incoming telephone calls, take messages, obtains information, provides information as appropriate regarding patient status, and routes calls or messages to appropriate person or department. (15%)
- Greets patients and families. Provides directions and infom1ation to patients, families and visitors. (5%)
- Monitors jackets for physician orders and enters appropriate orders in the computer: * (15%)
- Flags jackets that hm1e no reports.
- Forwards medical information copy to Medical Infonnation.
- Clarifies orders, results, messages, etc. with appropriate person.
- Contacts physicians for verbal orders as needed to complete exams.
- Retrieves old jackets/records as needed.
- Calls STAT reports to physicians, obtains follow-up instructions and relays appropriate information to patients.
- Notifies technologists and/or radiologists of lab results.
- Maintains contact with ancillary departments of request services, providing test results and assure results available within established, accepted times. Notifies appropriate people of results. Schedules in-patients for exams as requested by physicians, nurses, or medical office personnel. * (5%)
- Orders nuclear medicine doses for scheduled exams. (5%)
- Picks up mail from Central Supply and distributes to appropriate staff within department. Distributes reports to units, transcription, medical infonnation, and doctors' mailboxes. * (9%)
- Answers call lights timely and relates to appropriate person responsible for patient. Responds to patients' requests as appropriate. Keeps technologists infonned of patient/family needs and questions. * (10%)
- Maintains work environment in clean and orderly fashion. Inventories and restocks supplies as necessary. (2%)
- Routinely charges MRI and other miscellaneous exams as needed. Generates reports and statistical data utilizing computer. (2%)
- Maintains confidentiality of patient related issues. Supports the Patient Bill of Rights and Hospital Mission Values. (2%)
- Attends and participates in department related in-services, conferences, and meetings. May assist in orientation of new staff. (5%)
- Collaborates by working with others to achieve department and organizational goals. Utilizes proper chain of command for resolution of difficult issues. (5%)
- Monitors laser printers, facsimile machine, copy machine, and Genicom printer routinely throughout the shift to ensure timely receipt and/or delivery of information/reports. * (5%)
- Provides back up for telephone answering services for multiple extensions throughout the department. * (5%)
- Participates in department staff meetings and CQI plan to improve organizational performance and achieve department and organizational goals. * (5%

PERFORMANCE REQUIREMENTS:
- KNOWLEDGE, SKILLS, AND ABILITIES: Must ha\'e knowledge of all clerical duties, standard abbreviations, medical terminology, radiology operations, procedures performed, and billing/accounting procedures. Ability to read and understand physicians orders. Must operate standard office equipment as well as hospital computer equipment Performs general and specialized order entry utilizing department and hospital equipment. Excellent interpersonal and communication skills when interacting with physicians, co~workers and hospital staff
- EQUIPMENT USED: Photocopier, facsimile machine, calculator, multi-line telephone, hospital information system, tenninal; laser printer, addressograph, patient call system, and other related equipment. (Various office equipment)
- MENTAL DEMAND: Reading detailed work, problem solving, verbal and ,written conummicalions, customer, peer, and staff contact, multiple concurrent tasks, and constant intem1ptions, Must be able to work in an environment that is emotionally and/or physically stressful and m1prcdictable. Attention to detail required.
- COMMUNICATIONS: interacts and comm,micates wiU1 employees, patients, medical staff, families, and public to ensure smooth operation of department. Occasionally interacts with sales representatives for radiology and regulatory personnel.
- PHYSICAL EFFORT: Pulling and filing of patients' files and supplies as necessary. Position requires sitting, standing, and walking throughout the department and hospital. The majority of the day is spent utilizing hospital information system and radiology information system. Utilization of computer system allowing access of files for information retrieval is required.
- Medium work: exerting 20:50 pounds of force occasionally and/or J 0-25 pounds of force frequently.
- WORKING CONDITION: Works in clean, well-lit office area. Travels to/from patient care units and technical areas. potential exposure to hazardous materials, including chemical and radiation exposure. May be exposed to communicable diseases. Flexibility in shift and schedule changes/overtime as needed.
- Occasional exposure to hloody/hody tluicis.
- EDUCATION, EXPERIENCE, AND TRAINING: Must be high school graduate \\1th adequate clerical skills. One year post high school training preferred. Completion of a formal medical tenni.nology program required. Previous experience in radiology preferred. Training for computer sy:items, operational procedure provided..
- POPULATION BEING SERVICED BY POSITION: All age groups will be serviced- neonate, infant, adolescent, adult, and geriatric adult.
