Conifer Realty is seeking self-motivated Part-time Office Assistant - Mondays-Fridays 5 hours daily. Begin your next career with us starting in December and support one of our housing apartment communities in Downtown Rochester NY [200 units]. This is a great opportunity for someone has strong administrative and organizational skills, accurate data entry skills, and can provide excellent customer service to our residents, new resi1-dent applicants, vendors, and any other visitors. Prior experience with Seniors and disabled adults a plus. Background check and drug screen conducted.
CANDIDATES EXPERIENCE AND SKILLS WILL INCLUDE:
- Minimum 1-2+ years Office Assistant experience, preferably with prior strong customer service experience.
- Prior apartment leasing office experience helpful. Willing to learn affordable housing compliance program regulations.
- Strong written and verbal communication, time management, and organizational skills needed.
- Prior accurate data entry inputting needed with excellent proofreading skills.
- Proficient in MSOffice skills (Word, Excel, Outlook).
- Apartment Housing software skills on Yardi Voyager a plus or willing to learn.
- Math Aptitude – good with numbers; strives for accuracy.
- Able to work independently as well as support a team when needed.
- Must like to be busy and work with the public in a fast-paced office.
- Reliable transportation – reliable, dependable with excellent attendance.
- Must be self-motivated, willing to meet deadlines.
- Flexible, adaptable to changing work tasks, priorities as needed.
- Able to assist all levels, ages of residents, vendors, co-workers, visitors in a friendly, positive demeanor.
JOB RESPONSIBILITIES WILL INCLUDE but not be limited to:
- Provide organizational overflow support for fast-paced management office and provide excellent customer service to all Residents, new applicants, visitors, vendors, contractors, co-workers, and customers.
- Answering phones, greet incoming visitors, process incoming/outgoing mail, preparing office correspondence and completion of forms, maintaining files, and ordering/maintaining inventory of office supplies.
- Maintain an organized office calendar and schedule meetings and appointments when needed.
- Assist residents with collecting and processing rent payments.
- Deliver community notifications to residents.
- Receive and process work orders from residents in accordance with Conifer’s standards of operation and provide them to maintenance on a timely basis.
- Help develop promotional activities that will assist in marketing of the community when vacancies.
- Compose, prepare, and proofread correspondence, office memos, reports, and monthly newsletter, always maintaining required confidentiality.
