Office Assistant, Frazier Behavioral Health

JOB SCOPE
In this role, the Office Assistant is primarily responsible for setting patient appointments, collecting patient data and insurance information and support services to clinical staff in all applicable programs. They are expected to assist the Office Manager with daily tasks to ensure clinicians and patients are taken care of. It is also the responsibility of this position to model and maintain high professional conduct and standards among all clinical staff.
Responsibilities include but are not limited to:
- Greeting patients and families professionally in person, on the phone and through email
- Optimizing provider schedules and patient satisfaction with efficient scheduling for new and current clients
- Notifying providers of patient arrivals
- Provide assistance to clinical providers and patients, ensuring everyone is prepared and appointments run smoothly
- Use Electronic Health Records software (Rethink) to ensure availability of treatment information by retrieving and updating patient records
- Comforting patients and families by anticipating anxieties and effectively answering questions, or properly referring questions and issues to appropriate personnel
- Comply with all Frazier Behavioral Health policies and procedures
- Performing general clerical duties to include but not limited to copying, faxing, mailing, filing, laminating, preparing for events and computer use
- Responsible for checking the mailbox daily, bringing up any packages or mail, distributing mail/packages to addressed recipients and opening any mail addressed to Frazier Behavioral Health
- When assigned, assist Office Manager with purchasing supplies for office and/or running errands in the community
- When assigned, assist Office Manager with compiling, transcribing and distributing minutes of meetings
- When assigned, assist Office Manager with making arrangements for site meetings
- Responsible for setting up/breaking down site events within the office
- Assures telephone calls are answered and routinely check voicemails to ensure messages are relayed to appropriate personnel
- Responding to all customer inquiries in a polite and timely manner
- Directing visitors to the correct office
- Responsible for daily light cleaning of the common workspaces/kitchen areas
- Additional and varied duties and responsibilities as requested

QUALIFICATIONS
- Minimum of high school diploma
- Minimum of 3 years of broad experience in administrative work, general office responsibilities and office procedures
- Excellent interpersonal skills. Ability to interact with people of a variety of backgrounds.
- Excellent computer skills – experience with word processing, spreadsheets, Internet, PowerPoint, and website editing and publishing
- Knowledge of principles and practices of basic office management and organization
- Pass a background check
