Summary
Genesis Financial Solutions is looking for an Office Coordinator that is detail-oriented, provides excellent customer service, and can ensure our facility, employees and visitors get the support they need. This individual will provide general office and facility support with a focus on vendor management and employee engagement activities.
Responsibilities:
As our Office Coordinator you will:
  • First point of contact for employee, janitorial and vendor facility and supply needs, requests and questions. Ensures appropriate guest sign-in and identification to uphold office security standards.
  • Responsible for company badging with building security, ensuring all active employees have correct access and all terminated employees have their access promptly removed.
  • Assist with onboarding new hires by greeting employees on their first day, setting up desks, printing name tags, creating and collecting badges, and general office space tours.
  • Manage office and desk moves, office reconfiguration, desk modification/adjustment requests and maintaining accurate office seating charts.
  • Assist employees and executives with conference room bookings that includes meeting room set-up/clean-up, overseeing video conferencing, and ordering meeting supplies.
  • Assist with planning, budgeting, and scheduling vendors for monthly company events.
  • Maintains inventory, orders, and distributes all commonly used office, janitorial, personal protection equipment and kitchen supplies.
  • Proactively identifies areas of improvement to maintain a tidy, safe and professional work environment.
  • Serve as a Safety Team committee member; maintain plan for fire and emergency evacuation.
  • May assist with related clerical duties such as photocopying, faxing, filing, binding and collating.
  • Other duties and responsibilities as assigned and provides back up to other administrative functions.
Accountability:
The incumbent is directly accountable for ensuring efficient, timely, and accurate reception, facility and administrative support to GFS.
Qualifications:
Requirements:
  • High school diploma or equivalent education and experience required.
  • Intermediate level MS Office Skills; Word, Excel, Outlook, PowerPoint
  • Ability to organize, prioritize and determine work using independent judgement without direct supervision on a daily basis.
  • Must be reliable, proactive, and exercise discretion when dealing with sensitive and confidential information.
  • Must have the ability to climb steps and ladders, bend, stoop, push, pull and lift up to fifty pounds.
  • High level of accuracy and detail orientation needed.
  • Excellent verbal and written communication skills.
Essential Functions:
The incumbent must meet work deadlines, have regular attendance, good oral and written communication skills, provide timely and accurate work product, have good interpersonal skills, ability to work with a team, ability to multi-task, use a PC and a computer terminal, and the specialized telephone system. Position requires access to all areas of the office, and the ability to sit and/or walk for extended periods of time, periodically bending and twisting, and frequent application of a negligible amount of force to lift, carry, push, pull, or otherwise move objects.
