THE POSITION
The Office Manager position is responsible for a variety of tasks including, intake and referral calls, insurance verification and eligibility/authorizations, scheduling services (including coordinating substitute providers or canceling/rescheduling services appropriately), data entry, filing, answering multi-line phone systems, ordering supplies, and other various administrative duties.
POSITION EXPERIENCE & EDUCATION REQUIREMENTS
- High School Diploma/GED, required
- Bilingual in English and Spanish, preferred
- Bachelors Degree, preferred
- 2 years Administrative or Office Manager experience, preferred
- Proven administrative, organizational, and time management skills
- Demonstrated ability to provide excellent customer service and communicate effectively with staff, clients and families members
- Experience with electronic health records and managing health record inquiries
- Experience with Microsoft Office and Google platforms
POSITION RESPONSIBILITIES
- Participate in daily clinic duties as assigned
- Complete all assigned administrative duties, such as filing, copying, scanning etc.
- Participate in activities related to compiling reports and personnel management, as assigned by leadership
- Develop and/or maintain filing system, electronic and/or physical
- Manage and maintain staff paperwork and other documents as requested
- Perform other administrative duties as required to support the mission and function of the department.
- Maintain professional boundaries and a good rapport with clients, families and colleagues
- Ensure security, integrity and confidentiality of data
- Collaborate with other teams and individuals to complete necessary or assigned tasks
- Organize & schedule meetings & appointments, at the direction of the supervisor or director
- Attend meetings and trainings as requested
- Complete quantitative and qualitative electronic health record reviews
- Collaborate with peers and colleagues to fulfill scheduling needs
- Communicate with families and participants to fulfill scheduling requirements
