Job Overview:

As the office manager of Urban Family Center (UFC) you will manage the office and administrative systems to keep our program running while remaining in compliance with agency and funder requirements. In this role you will manage the office team of 8-10 office assistants, work closely with the program directors, and collaborate with internal and external partners to manage the day-to-day operation of the UFC programs. To be successful in this role, you will be comfortable working independently and will thrive in a fast-paced environment where you are asked to support competing priorities and deadlines.

Qualifications:

  • 5 years of administrative experience required
  • 3 years of people management experience required
  • Experience in and knowledge of the shelter system or social service nonprofit sector highly preferred
  • Proficient in computer software’s such as Microsoft & Google required, experience with CARES and Foothold is a plus
  • Superior organizational, analytical, and interpersonal skills; proven ability to anticipate programmatic needs, initiate projects, and work autonomously
  • Excellent writing, proof-reading, and typing skills
  • Ability to independently handle multiple high priority tasks simultaneously
  • Ability to maintain complex confidential records and to prepare reports by deadlines
  • Bilingual English/Spanish preferred

Responsibilities:

  • Lead all office and administrative systems, operations, and procedures
  • Manage the office team to ensure effective and efficient work systems are in place. Hire, onboard, and task manage as needed.
  • Oversee and complete all billing, purchasing, inventory, vendor contracts, and the scheduling and record keeping of program upkeep on a monthly and annual basis.
  • Manage relationships and collaborate closely both internally within Urban Family Center & Henry Street, and externally with vendors and funders
  • Act as the primary liaison between the Urban Family Center program and the administrative divisions of Henry Street Settlement, by meeting deadlines, coordinating projects, and providing all follow ups to departments such as HR, IT, purchasing, executive, development, and marketing & communications.
  • Ensure office efficiency is maintained by developing, implementing, and maintaining systems (i.e., procedures, protocols, trackers, and calendar management)
  • Lead the program's compliance (alongside the leadership team) in internal and external audits and investigations, all agency internal policies and procedures, and other regulations from funder and governmental entities.
