Summary

Responsible for coordinating and providing administrative support to various departments


Essential Duties and Responsibilities

  • Administrator for SAP/LMS (Learning Management System) systems for Operations MOC (Management of Change) procedure workflows, including service entry sheets
  • Complete quality assurance/quality reviews of drafted procedure changes
  • Create and assign CBL (Computer Based Learning) trainings for designated work groups
  • Manage annual review assignments, tracking and filing for designated work groups
  • Manage compliance audit assignments, tracking and filing for designated work groups
  • Manage revision control of all controlled documents
  • Administrator for the Operations site in SharePoint
  • Management of the Operations Employee Recognition Program
  • Maintain administration changes of the overtime spreadsheets for all groups
  • Provide managers and superintendents with monthly/weekly status reports (Annual reviews, Audits, FR Clothing, Open and Pending DCNs (Document Change Notifications), SOP (Standard Operating Procedure) Status reports, etc.)
  • Coordinate and help facilitate projects for continuous improvement as it pertains to this job role or as requested
  • Process rewritten controlled document types according to the Rewrite Initiative standards
  • Route incoming/outgoing mail, email, fax and incoming phone calls; prepare outgoing mail and correspondence
  • Provide general administrative support to your assigned departments including typing, word processing, filing, mail and answering phones
  • Compose and type routine correspondence and maintain department bulletin boards
  • Organize and maintain file system, file correspondence and other hard copy and digital records
  • Coordinate manager's calendar and schedule appointments
  • Arrange and coordinate travel schedules and reservations
  • Conduct research, compile and type statistical reports
  • Coordinate and arrange meetings, prepare agendas, reserve and prepare facilities and record and transcribe minutes of meetings
  • Make copies of correspondence or other printed materials
  • Order supplies and other required purchases for the department as well as maintain all required documentation for the accounting department
  • Manage orders for FBR clothing and winter gear
  • Maintain and balance monthly p-card statements
  • Assist new hires with computer rights, timecard, personal protective equipment (PPE), etc.

Education and/or Experience

· Requires a minimum of a High School Diploma and one (1) year to three (3) years related experience and/or training; or equivalent combination of education and experience

Computer Skills

· Proficiency with Microsoft Office programs and the ability to learn new software

· Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals
· Ability to write routine reports and correspondence
· Ability to speak effectively before groups of customers or employees of organization
· Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
· Ability to compute rate, ratio, and percent and to draw and interpret bar graphs
· Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form
· Ability to deal with problems involving several concrete variables in standardized situations
· Organizational skills, flexibility and ability to multi-task well in a face paced environment effectively
· Ability to recognize and complete a task, with minimal direction or supervision
