Position: Parish Secretary
Classification: Full Time – Non-exempt

Essential Duties and Responsibilities of Parish Secretary & Bookkeeper:
- As Parish Secretary, you are expected to manage the Pastor’s calendar for appointments, meetings and other pastoral events and activities.
- Ensure and direct the workflow within the Pastor’s and Parish Office.
- Inform the Pastor of the articulated and perceived needs of the church and community as communicated to the Office of the Secretary & Bookkeeper.
- Collaborate with the Pastor and staff in all activities and provide support for the efficient and effective functioning in all church offices, in responding to the pastoral needs of the church community.
- Refers telephone calls and incoming visitors to appropriate personnel, and, if not available, takes messages.
- Assembles articles and prepares the Weekly Church Bulletin.
- Take registration for baptisms and all other all sacraments.
- Keeps records of Ministries and Organizations of the church.
- Takes care of the church religious articles offered for sale.
- Organize and safeguard archives of the Parish.
- Collaborate with CCE office in making arrangements and schedules for Sacraments such as Baptism; Confirmation; Matrimony as well as Quincenera and RCIA.
- Collaborate with staff in making arrangements and schedules for Funerals and other Church services.
- Schedule and make necessary preparations for meetings: Parish Pastoral Council; Finance Council; Liturgy Committee, and Fundraising Activities Committees.

- Perform your tasks and responsibilities in an efficient, expedient and effective manner that is responsive to the needs of the staff and the church community.
- Be courteous and respectful in dealing with all members of the parish community as you represent the Pastor and the Church.
- Maintain confidentiality in all matters.
- Attend necessary training and seminars as required in the performance of your job i.e., Protecting God’s Children and Computer Skills Training.
- Other duties as assigned.
Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. - High school graduate or equivalent.
- Ability to communicate effectively in English and Spanish (written and orally)
- Minimum one-year secretarial experience
- Computer literate in Word, Excel, PowerPoint, Intranet required.
- Ability to operate and care for a computer and other office equipment.
- Possess good communication skills, including professional telephone skills.
- Ability to maintain confidentiality in all matters.
- Knowledge of typing, filing and computer skills.
- Ability to maintain effective working relationships with other employees and the general public.
- Ability to maintain clerical records.
- Ability to manage multiple projects simultaneously and reach desired results
- Reliable transportation is required.
Reasoning Ability: Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret technical instructions and deal with several abstract and concrete variables.

Salary: Salary to commensurate with experience.

The work area is a typical office environment. The noise level in the work environment is usually moderate. Average 20 hours per week. Business hours: Monday - Friday, may include weekends.

Pay: $10.00 - $12.00 per hour
