Payroll Manager Job at The Carroll Companies
As the HR/ADP Payroll Manager and subject matter expert, you will be responsible for overseeing the end-to-end Payroll function for the organization. This role is responsible for all operational, processing, audit, and compliance activities regarding payroll. In this role you are expected to look for ways to improve the Payroll processes and its efficiency. In addition to the payroll processing you will be heavily involved in budgeting, forecasting and salary analyses
RESPONSIBILITIES
Payroll Operations
- Manage the bi-weekly payroll process for the organizational payroll
- Responsible for reviewing all data entered in the payroll both manual entry and uploads. This includes for example: new hires, terminations, payments to employees on Leave of Absence, changes in employment status, salaries, FLSA status, employees’ tax set-up and others. Verify the accuracy of the information, proper signoffs, back up for each transaction and data entry
- Responsible for reviewing draft payroll files and final payroll files with a full audit. Recommend additional audit tools to keep improving on this process
- Review and approve the bi-weekly payroll Journal Entry, working closely with Senior Accountant on the mapping of accounts for GL and journal entries to be recorded
- Responsible for the distribution of bi-weekly payroll reports to leaders
- Responsible for the maintenance of the time clock system including access rights to new employees and leaders, understanding adjustments, reviewing and producing reports
- Partner with managers and employees on the time clock system to achieve accuracy in hours
- Oversee manual checks and special payrolls as needed; be familiar with manual adjustments
- Responsible for relationship with outside payroll vendor including approving invoices
- Work closely with employees as necessary to answer their questions
Compliance & Audit
- Lead the year end payroll processes including the distribution of W-2’s and finalizing the tax filings for 940’s and 941’s
- Lead for all payroll related year-end audits and ad-hoc requests related to financial or tax audits
- Responsible for tax compliance including the filing of quarterly and annual payroll tax reports, filing amended reports and complying with business registrations. Work closely with ADP to ensure accurate and timely filing. Resolve all tax notices with ADP
Reporting and Analysis
- Prepare payroll forecasts and analyze final payroll reports for all variances
- Responsible for Severance accruals and tracking file
- Run, prepare and create payroll reports from ADP or in excel as necessary for financial reporting, ad-hoc requests while ensuring accuracy of information and proper presentation
HR Team Management & Partnership
- Work collaboratively with HR and Talent Acquisition Team
- HR Generalist support - Benefits, Compensation, Performance Review, Strategic Planning
- Partner closely with the Accounting, FP&A, HR, Talent, and IT teams and other departments on payroll related matters and requests
- Special projects as necessary
QUALIFICATIONS
- Prior payroll software experience is required. ADP Workforce Now experience is required
- Must have strong knowledge of payroll principles, procedures and regulations on the federal, state, and local levels
- Experience processing multi-state payroll for exempt and non-exempt employees required
- Strong skills in excel working with complex formulas (i.e. pivot tables, vlookup, sumif, etc.) is preferred
- Strong analytical skills and proven ability to draw conclusions from data compiled from multiple sources
- Advanced Payroll Certification is preferred
- Excellent verbal and written communication skills
- Highly organized, rigorous and detail-oriented individual who thrives in a fast-paced, high energy environment
- Demonstrated ability to work independently and is resourceful, creative and time sensitive juggling multiple projects for challenging deadlines
- Able to deal with confidential information and/or issues using discretion and judgment
- Knowledge and experience processing journal entries a plus
- Experience processing international payroll a plus
- Able to interact with a variety of people at all levels and provide information and support
- Must enjoy working in a team environment and be able to collaborate with other teams and individuals
EDUCATION
- College degree with a concentration in Accounting preferred
