JOB SUMMARY/ESSENTIAL JOB FUNCTIONS:

The Payroll Specialist is responsible for the timely, accurate, and compliant data entry of payroll for benefited, non-benefited, contract, and student employees in the university.


DUTIES AND RESPONSIBILITIES:

  • Processes and checks new hire forms, rehire forms and personnel change forms in IRIS.
  • Posts forms directly to IRIS to ensure changes that effect pay are made accurately on a timely basis.
  • Processes pending employees, guest travelers, and friends into the IRIS system.
  • Assists the faculty, staff, and students at UTHSC in person, on call, or e-mail concerning pay and associated benefits.
  • Meets with individuals to explain, trains to understand pay, and assists with problems.
  • Reviews, processes, checks, and approves electronic forms in IRIS, which includes the pay changes updates, account number updates, and corrections to employee records.
  • Processes pay checks and salary loans for individuals who have missed payroll deadlines or overpayments.
  • Corrects report errors and checking scanned documents for accuracy.
  • Processes employees from foreign countries, assists with the required documentation between the US government and the respective country. Confirms I-9 updates sent to payroll from Human Resources have been entered in IRIS.
  • Processes Accounts with Renewal, which requires updating restricted employees' WBS element as each grant expires.
  • Processes death benefits for employees who have passed away while employed.
  • Processes salary tax overrides, and determination of longevity dates for employees with employment breaks or have prior state service with another state agency.
  • Performs other duties as assigned.


MINIMUM REQUIREMENTS:

EDUCATION: Associate's Degree in Accounting, Finance, or Business Administration, or a related field. (TRANSCRIPT REQUIRED)

EXPERIENCE: Three (3) years relevant payroll processing experience; OR an equivalent combination of related education and experience to equal seven (7) years.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Problem solving, communication, and decision-making skills.
  • Ability to plan and prioritize.
  • Knowledge of Payroll compliance and payroll software.
  • Teamwork and customer service skills.
  • Ability to adapt to changes in regulations and laws.
  • Knowledge of SAP system is preferred.
  • Report writing, leadership, and administrative skills is preferred.

WORK SCHEDULE: This position may be occasionally required to work evenings and weekends.
