Expected salary range: $52,000-$60,000 yearly


The Personnel Specialist will assist the Personnel Department in managing all functions of the field staff within Field Operations. The ideal candidate can multi-task, change priorities quickly and often, work independently or with a group, solve problems, exercise good judgement to make decisions, and communicate effectively and efficiently with a large staff. Typical office hours 3pm-11pm, Monday through Friday (Eastern Time), however, must be available 24/7/365 as needed.

Duties and Responsibilities/Essential Functions

  • Work with the Travel Department to secure arrangements including flights, hotels, rental vehicles, and uber access.
  • Track flight costs and complete expense reports for travel invoices.
  • Work with HR, Safety, and Training to ensure proper tracking of training and certificates.
  • Manage & update employee skills catalog.
  • Manage staffing requests and conduct scheduling for Field Operations.
  • Coordinate with field managers and site leads to ensure the right personnel with the necessary skills on active sites are being covered.
  • Monitor staffing levels at each job location and notify the Scheduling Manager of staffing needs and overages.
  • Track the durations of staff assignments and notify the Scheduling Manager when an employee is due for a rotation.
  • Manage employee schedules including PTO, Retainer rotations, and requested times off.
    • Ensure Full Time employees are being slotted first
    • Ensuring rotations home are offered fairly and without bias
    • Ensure job scheduling is done fairly and without bias
  • Facilitate communication between crew, Operations Managers, Project Managers on scheduling as needed.
  • Identify and coordinate with appropriate Personnel Manager when an employee is due for an end of job evaluation.
  • Conduct year end reviews for field technicians based on end of job evaluation cards as needed.
  • Work with HR to ensure proper Wage Determination is followed for SCA jobs; communicating staff movement. If HR is missing documentation, acknowledgement, or signature personnel manager facilitates with employees. Likewise, if employee has questions relating to benefits, pay, policies, etc, manager facilitates conversation with appropriate HR reps.
  • Conduct interviews and hire for field positions.
  • Assist in onboarding, introducing a new employee to all of the systems and training requirements.
  • In conjunction with field ops, food ops, and general ops, assist in development plans for employees.

Skills and Specifications

  • Ability to demonstrate a high level of professionalism in dealing with confidential and sensitive issues
  • Ability to perform advanced levels of discretion when dealing with PII and handling sensitive information
  • Exceptional organizational skills and business acumen
  • Ability to take direction from leaders and prioritize tasks in a fast-moving work environment.
  • Self-managed/Independent worker but also great coordination skills
  • Excellent communication skills, both written and oral. Must be able to communicate clearly; interact with global workforce.
  • Strong computer skills; proficiency in Microsoft Office Suite, Adobe Pro DC, PowerPoint, and email communications. Previous ADP knowledge a plus.
  • Ability to speak, read and write English.

Supervisory Responsibility

This position may have supervisory responsibility of Field Personnel.


Work Environment

This job operates in a professional office environment and field environments. We operate 24/7/365, inside and outside, in all weather conditions. This role routinely uses standard office equipment such as laptop computers, smart phones, tablets, photocopiers, filing cabinets and other presentation materials. This role is required to use and wear standard PPE, which will be provided by the company. There is an expectation of clear communication in English both written and orally.

Physical Demands

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. Ability to twist, turn, bend, lift, kneel, climb and stand. Lifting of up to 75 lbs may occur.

Position Type/Expected Hours of Work

This is a full-time position based remotely. Typical office hours 3pm-11pm M-F, however, must be available 24/7/365 as needed. Ability to work flexible hours including nights, holidays, and weekends is required based on contract needs.

Travel

Up to 25% travel is required. Ability to travel to job sites and be away for extended periods of time based on contract needs is required.

Required Education and Experience

  • Associate Degree (or higher) is required
  • 1+ year of experience in arranging group or corporate travel and other logistical movements is required
  • Experience in personnel management is recommended

Work Authorization/Security Clearance

  • Must be authorized to work in the U.S.
  • Must be able to travel within the Continental United States (CONUS).
  • Must pass a drug test, motor vehicle record check, and a background check after accepting a conditional offer of employment.
