POSITION SUMMARY:
Assists with coordinating outpatient/inpatient services for NMH residents, including laboratory services, ambulance services, x-ray services and all necessary reimbursement requirements for scheduling and documentation for these services on a day-to-day basis for all Neshaminy Manor Home residents. Assumes the Outpatient Coordinator responsibilities in his/her absence.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
- Assists coordinating and scheduling with all consults and tests at hospitals, physician’s offices and at the Home including receiving orders, pre-registering residents, scheduling resident transportation and monitoring overall documentation.
- Assists with scheduling all in-house clinics that includes, but is not limited to, podiatry, eye, dental, pacemaker checks, optician, audiology, GYN and neurology.
- Assists with making rounds as well as assisting each specialist as he/she treats residents.
- Maintains all required documentation including test results, consent and insurance forms and files/forwards as required for NMH documentation, doctors’ offices and hospitals.
- Completes and forwards all third party insurance requirements including referrals and HMO pre-authorizations; schedules physician appointments; sets up transportation; and sets up designated labs.
- Responsible for identifying and coding all lab and x-ray tests to include the proper ICD code and related diagnosis.
- Maintains ongoing transfer files for all clinics, labs, consults, etc.; completes all filing as required.
- Assists with ordering/troubleshooting/maintenance/repairs and maintains files for ACCU-check blood sugars, hearing aids, glasses, shoes and as necessary, supplies and equipment.
- Operates computer programs required for all lab/clinic functions including training new personnel, troubleshooting programs and equipment as necessary.
- Serves as a backup for in-house clinics and central supply. Serves as companion aid for residents requiring assistance to hospital, doctor’s offices, etc.
- May be required to perform additional work that follows prescribed or well-established procedures that can be learned within a reasonable time by training on the job. More detailed instructions as to the nature of their duties will be given to employees at the beginning of work.
QUALIFICATIONS REQUIRED:

- High school diploma or equivalent.
- Medical terminology background required.
- Computer experience in Word, Excel and database program.
- Office management experience preferred.
- Ability to prioritize and work independently with a strong sense of team spirit, good communication skills and a positive resident-centered approach to problem-solving.
