Job Summary :
The Pre-Service Supervisor is responsible for the overseeing the daily operations and supervision of non-clinical Pre-Service Coordination staff. This department is responsible for reviewing physician orders, organizing, and coordinating the delivery of requested patient care services and supplies covered under the scope of the patient’s health plan coverage.
What to expect in your role:
- Supervise the workflow and directly oversee Pre-Service Coordinators
- Oversees daily operation for department and assists in completing daily service coordination tasks
- Monitor the Pre-Service Coordinators level and quality of work and provide coaching as indicated
- Supports coordinators to ensure resolution to issues/barriers that are identified and escalated to supervisor
- Safeguard that pending orders are resolved and completed in a timely fashion
- Ensure department meets the SLA turnaround times with timely processing of orders/requests and delivery of services
- Evaluate workflows, processes, and systems and make recommendations to streamline processes, improve quality and efficiency
- Maintain appropriate organizational confidentiality and ensure the security, accessibility, and proper distribution of organization documents
- Perform quality assurance monitoring to ensure adherence to SOPs and quality standards
- Collaborate and work effectively with Intake, Utilization Management, Billing, Pharmacy, Home Care and DME departments
- Support the Pre-Service manager in onboarding, mentoring, training, and development of Pre-service Coordinators
- Act as a subject matter expert for topics within the department for Pre-Service Coordination
- Maintain working knowledge of all insurance contracts
- Maintain working knowledge of Medicare/Medicaid guidelines
- Preserve confidentiality and security of patients’ personal information at all times
- Maintain a working knowledge of, and adhere to applicable federal/state regulations including but not limited to, laws related to patient confidentiality, release of information, and HIPAA
- Provide excellent internal and external customer service by ensuring work meets quality standards
- Lead departmental Quality Improvement projects/initiatives
- Lead system update and enhancement projects/initiatives
- Lead department in-services and continuing education programs
What you need to succeed:
- 3+ years Healthcare, DME, Home Health, Infusion or medical industry experience
- Healthcare supervisory experience
- Experience supervising remote workforce
- Knowledge and experience working with Medicare/Medicaid & commercial/private insurance benefits, medical authorizations/billing
- Associate degree in healthcare field preferred
- Proficiency in English (Verbal and Writing)
- Bilingual preferred
- Excellent communication skills
- Excellent computer and technology skills
- Strong critical thinking skills, problem solving and decision-making skills
- Time management skills with ability to prioritize work
- Effective coaching skills
- Proficient with Microsoft Office applications including Word, Excel, and Power Point.
- Vision and Hearing must be adequate to perform job duties
