Position: Production & Events Manager, Communications

Reports to: Director, Communications

Scope: CIPE is seeking a full-time, exempt position based in Washington, D.C. for a Production & Events Manager. This position is responsible for providing technical leadership and project management skills to promote and produce in person, hybrid, online, and remote events. The Production & Events Manager will adapt CIPE’s public and private events to ensure world-class standards that help project key messages and engage stakeholders to advance our programs and thought leadership. This may require work with international teams in multiple time zones.


Responsibilities:

  • Serve as the department liaison for producing CIPE-affiliated onsite, offsite, remote, and virtual events. Collaborate with Program and Communications staff to ensure events are executed effectively and support organizational strategy. This includes coordinating across the enterprise to make sure everyone is briefed on all phases of the event planning and marketing.
  • Provide support to establish the “vision” for events by evaluating client needs and recommending appropriate platforms, tools, and resources to ensure that the business needs can be properly serviced within budget and appropriate timeframe.
  • Develop and recommend marketing communication plans for pre and post event promotion and implement metrics and reports to help measure success and aid future planning.
  • Manage logistics on-site to ensure the event is executed successfully and on time.
  • Write and oversee vendors and staff in the creation and distribution of invitations, event material, and media advisories.
  • Identify and supervise event vendors, contract locations and catering, ensure proper signage, and implement all other aspects of guest management.
  • Create and track event budgets, ensure financial paperwork is in order, and contractors are paid on time.
  • Manage all aspects of CIPE AV and conference room technology in coordination with the IT and Operations Departments.
  • Provide guidance and recommendations on the latest best practices and innovations in event planning and execution.
  • Manage events and production staff, including podcast, video recording and editing.
  • Coach employees to make sure that the CIPE brand is used properly, and the event reflects CIPE’s values.
  • Work with the Business Development Director to help identify opportunities to build relationships.
  • Contribute to an organizational culture of innovation, integrity, and high performance.
  • Adhere to appropriate CIPE, NED, U.S. Chamber of Commerce, and donor policies and procedures.
  • Other projects or duties may be assigned as necessary.

Qualifications and Requirements:

  • Bachelor’s Degree in Communications, Hospitality Management, Marketing, Public Relations, Business Administration, or Project Management required.
  • Minimum of eight years of progressive experience in events planning and execution within an organization or event venue, including management of staff and budgets.
  • Proficiency in producing multi-media events using a variety of digital platforms including Zoom and Microsoft Teams.
  • Possess excellent decision-making skills and flexibility to rearrange event plans with short notice.
  • Able to prioritize, problem solve, and remain calm in high stakes events or situations.
  • Intermediate to expert knowledge of video and audio production software and the latest techniques, including previous work with Final Cut Pro, Ableton, Audacity, Squadcast, or similar programs.
  • Solid understanding of procedures related to contracting services.
  • Strong organizational and customer service skills, including a demonstrated ability to operate in a fast-paced work environment and manage multiple deadlines.
  • Excellent writing and verbal communications skills, including a high attention to detail.
  • Ability to build and maintain strong working relationships with co-workers and vendors.
  • Strong financial acumen and ability to develop, manage, and monitor project budgets.
  • Professional proficiency in written and spoken in English is required.
  • Foreign language proficiency is considered a plus.
