Join Cottage Health as the Program Coordinator Assistant, Internal Medicine Residency . The Program Coordinator Assistant provides administrative support and develops workflow process and systems for the Internal Medicine Residency program with minimal supervision and direction and assists the Program Coordinator of the Internal Medicine Residency under the supervision of the Program Director of the Internal Medicine Residency. Additional responsibilities include:

  • Organizes and coordinates medical student rotations, including but not limited to: responding to inquiries, receiving applications, arranging schedules and housing, corresponding with students, orienting students, informing faculty and residents of student rotations, troubleshooting logistical problems, organizing evaluation forms, and maintaining files.
  • Coordinates teaching conferences and educational meetings, including but not limited to: scheduling conference rooms, arranging catering, scheduling speakers, publishing calendars, managing resident and CME attendance sheets, administering CME documentation paperwork.
  • Assist with documentation and organization of residents workflow, including but not limited to: logistics related to elective and Emergency Department rotations (tabulating list, corresponding with Attending physicians, publishing weekly and monthly schedules, overseeing MOU's and invoices, collecting evaluations), obtaining and circulating signature sheets, ordering/obtaining lab coats, generating graduation certificates, administering nutrition allocation via ID badge as directed by the Program Director in conjunction with the Nutrition Department, notification of hospital system of call schedule, production and distribution of resident photo guide (inclusive of all GME programs), organization of graduation dinner and orientation breakfast, as requested by Program Coordinator.

QUALIFICATIONS

All job qualifications listed indicate the minimum level necessary to perform this job proficiently.

LEVEL OF EDUCATION

Minimum: Associates Degree, or combination of education and experience (using the standard of 2 years of experience equals 1 year of education) working with a graduate medical education program or with Medical Residents.

Preferred: BA or BS

TECHNICAL REQUIREMENTS

Minimum: Computer literacy, including intermediate MS Word and Excel skills and 45 wpm keyboarding speed.

YEARS OF RELATED WORK EXPERIENCE

Minimum: 2 years of administrative support experience, preferably in a residency program.

Preferred: Graduate Medical Education program experience
