Job objectives
The Project Assistance Estimator will support all aspects of project management and estimating which includes general clerical, receptionist functions, preparation and tracking of purchase orders, and assisting estimator with preparation of bids.
General Duties
· Answers telephone, screens callers, relay messages, check voicemail and greet visitors.
· Update and maintain contact list and current vendor database
· Maintain and order all office supplies/kitchen supplies and equipment
· Prepare packages and scheduling for shipments including submittal items from project management team
· Process purchase orders, confirm order acknowledgements, and communicate deliveries with both shop and field with management
· Manage and communicate all back orders, delays, and delivery date changes with project team
· Work with shop manager with processing, and monitoring returns on damaged or incorrect materials
· Monitor, update acknowledgements and purchase order log until invoiced. This includes monitoring pricing changes or conflict from committed costs
· Review all shop deliveries including marking boxings and ensuring materials are delivered or picked up
· Process and schedule orders (material, equipment, and tooling) throughout project
· Assist with all projects related tasks as instructed by the Project Manager
· Assist estimator in reviewing new bid opportunities
· Complete highlighted drawings, takeoffs, and gather information to start proposal
· Review drawings, specifications and developing a clear scope for the project
· Assist Project Estimator with developing job cost during bid
· Prepare a clear and professional proposal
· Help assist in developing pre-scope clarifications prior to bid
· Ensure vendor price list are current
· Follow up on bids that are submitted
· Develop, maintain, update, and communicate the bid calendar
Skills and Knowledge
· Ability to read and interpret architectural, structural plans and specifications
· Proficient in MS Word, MS Excel, Outlook have good communication and grammar skills
· Good Math Skills
· Well Organized
· Ability to multi-task and meet tight deadlines
· Desire to learn and be trained
· Adhere to policies and procedures
Job Type: Full-time
Pay: $17.00 - $20.00 per hour
