Overview:
The Property Coordinator is responsible for monitoring and maintaining Hillsdale in DC facilities, building systems and procedures, information technology and A/V, building compliance and permits, and maintaining strong working relationships with Hillsdale in DC vendors through necessary and efficient billing, contracts, and insurance forms.
Responsibilities:
Monitor, maintain, and improve Hillsdale facilities in Washington D.C.
  • Coordinate with vendors and staff to ensure all Hillsdale in DC facilities are kept in good shape and functional for all intended purposes
  • At as project manager and supervise on-site vendors to ensure quality work and that all issues get resolved
  • Seek opportunities to improve facilities to better achieve the mission of the College
  • Provide written operational and facilities reports to necessary HDC staff for institutional reporting purposes

Maintain long-term maintenance of all building systems and policies and procedures, including information technology, audio/visual equipment, and security systems
  • Coordinate necessary maintenance needs with HDC staff and main campus
  • Maintain working relationships with vendors and regular contractors and conduct regular assessments of current facilities to forecast future needs of properties
  • Ensure all current buildings are on preventative maintenance schedules
  • Monitor security cameras on daily basis and report suspicious behavior to necessary contacts
  • Oversee security guard hours to ensure a safe environment after-hours at HDC
  • Work with main campus security team to monitor the transition from Kastle to Siemens at new properties as well as any future security implementation

Maintain all building compliance related to building permits, building codes, licenses, inspections, and fees with the District of Columbia
  • Work with main campus to ensure good standing with DCRA and other relevant DC entities
  • Monitor timelines and updates for building permits, codes, licenses, inspections, and fees

Manage work assignments, billing, and insurance of vendors working for Hillsdale in D.C.
  • Review and confirm billing and coordinate with budget manager so he/she can submit requisition to campus to pay vendor
  • Occasionally negotiate vendor contracts to ensure cost efficiency
  • Manage new and existing maintenance contracts, complete necessary vendor forms, and review Certificate of Insurance forms to ensure compliance, including with DC zoning laws and permitting

Oversee Washington Hillsdale Internship Program buildings and facilities
  • Coordinate with students and Undergraduate Program Coordinator for most up-to-date facilities information
  • Schedule regular maintenance with existing vendors
  • Troubleshoot issues that arise during the semester
  • Interface with students to set expectations around maintenance and emergency issues that arise throughout the term
  • Research new vendors for Hillsdale House depending on required needs and maintenance
  • Re-stock the Hillsdale House in between terms (spring, summer, and fall) and confirm the house is cleaned and repaired for the next term
Qualifications:
Individuals must possess such knowledge, skills and abilities, or be able to explain and demonstrate, that the individual can perform the essential functions of the job, with or without reasonable accommodation using some other combination of skills and abilities.

Education & Experience
This position requires a high school diploma or equivalent and two years of experience in building and property maintenance and vendor relations. Experience with building codes, permits, etc. in the Washington D.C. area and experience working on a security team is preferred.
