Position Purpose:
Prepare purchase requests for the Facilities Department. Respond to customer and supplier inquiries about order status, changes, or cancellations. Perform buying duties when necessary. Contact suppliers to schedule or expedite deliveries. Track the status of requisitions and orders. Charge or forward invoices to appropriate accounts.
Essential Duties:
- Prepare purchase requests, loading them into the Intacct program daily.
- Track the status of purchase requests when necessary.
- Respond to customer and supplier inquiries about order status, changes, or cancellations.
- Contact supervisors in the event of late or missing information.
- Work with department staff to compare deliveries with purchase orders to identify discrepancies.
- Perform vendor research to reduce costs and boost efficiency.
- Maintain cordial working relationships with vendors and ministry stakeholders.
- Assist EA with purchasing agreements with vendors.
- Use quarterly and annual data to determine purchasing needs and performing inventory management.
- Assist with the managing of purchase orders, shipping schedules, and purchase records.
- Other duties as assigned.
Knowledge, Skills, and Abilities:
- Must have excellent time-management skills
- Strong organizational and follow-through skills, and the ability to work within time constraints
- Able to work independently with little supervision
- Strong verbal and written communications skills (especially in emails) with the ability to interact with other departments and management succinctly and cognitively
- Ability to anticipate problems and provide solutions
- Must have excellent customer service skills
- Detail-oriented
- Must have strong administration skills
- Ability to communicate effectively with a wide variety of people
- Excellent telephone etiquette, speaking and presentation skills
- Must be able to effectively operate Windows-based computers.
- Proficiency in Word, Excel, PowerPoint, and Outlook
- Able to lift and carry 50 lbs.
- Self-starter: able to think through processes and determine the course of action
- Must have a high level of professionalism and discretion in dealing with sensitive and confidential information
Requirements:
- Must have a personal relationship with Jesus Christ.
- Must sign the Statement of Faith.
- A high school diploma or equivalent education is required.
- Charis Bible College student or graduate is preferred.
- Must pass all required checks.
Experience:
- 1-2 years of customer service or administrative assistant experience.
- Prior office environment experience is preferred.
- Knowledge of facilities and maintenance environments is desirable.
- Compensation is commensurate with experience.
