ACHC is looking for a Receptionist to join our Operations team as a key stakeholder both internally and externally. The Receptionist is responsible for answering incoming calls, directing calls to appropriate staff members, mail distribution, requisition of supplies, and providing general office support and operational assistance to ACHC staff, visitors, and customers.
The highly-organized ideal candidate will always exhibit the utmost professionalism and will possess and exhibit patience and active listening skills. Success in this role also requires effective time management and unwavering reliability.
Full vaccination against COVID-19 is required for all ACHC open positions.
JOB RESPONSIBILITIES:
- Serve as the main Receptionist for ACHC.
- Professionally and courteously answer and screen incoming telephone calls, determining the nature of the call and the appropriate party to direct calls to, and ensuring callers connect with a live person at ACHC.
- Screen and forward voicemail and e-mail messages in the ACHC general mailboxes.
- Greet visitors to ACHC in a friendly, upbeat, positive manner and provide assistance related to the purpose for their visit; maintain security by following procedures, monitoring logbook, and issuing visitor badges.
- Receive, log, scan, and process incoming mail, packages, and checks; prepare outgoing packages for distribution, as requested.
- Plan and coordinate all back-up Receptionist duties with applicable other team members when away, ensuring coverage is sufficient at all times.
- Provide general office/administrative support and assistance.
- Create purchase requests for supplies/materials by visual inventory review and special requests from staff.
- Place and coordinate material orders with supply sources; distribute supplies to staff or return when applicable.
- Maintain the conference rooms, ensuring that supplies/drinks are stocked.
- Maintain the kitchen and break areas including ensuring ample coffee and other supplies, general upkeep, and ensure cleanliness of refrigerator, counters, and dishwasher.
- Assist with general equipment and operations maintenance, as requested, engaging the appropriate service/repair vendor when needed.
- Assist HR team or other ACHC leaders or departments with special projects as needed.
JOB REQUIREMENTS:
- Associate degree preferred with at least 3 years of experience providing phone triage support and/or other comparable administrative support in a corporate setting; or High School Diploma plus 5 years of relevant experience.
- Exceptional and customer service skills required, along with a demonstrated ability to remain calm, professional, and courteous in all interactions with both internal and external key stakeholders.
- Friendly and outgoing demeanor needed with an assertive resourcefulness, a willingness to learn, and a strong desire to help others.
- Proven capabilities in maintaining confidentiality and showing discretion with matters of a sensitive nature.
- Experience in resolving issues with office equipment a plus.
