The Receptionist’s primary role is to greet clients and visitors, answer the telephone and redirect calls as appropriate, book and manage conference rooms and catering orders, and other administrative duties in partnership with the Office Administrator and Office Services.
What You'll Do:
  • Open and close Reception, to include turning on/off phone system; creating and emailing the Daily Bulletin of visitors, guests and special events
  • Answer and transfer incoming calls, take accurate and complete messages, provide appropriate information to callers
  • Greet clients, vendors and visitors and escort them as appropriate
  • Notify client of guest arrivals
  • Request building access for visitors
  • Schedule meetings, conferences to include reserving conference room(s); AV equipment, and food/catering orders
  • Establish and maintain working relationship with Building Security
  • Manage parking validations
  • Process monthly catering and vendor invoices
  • Maintain office phone list
  • Manage loaner keycards
  • Help foster a proactive environment of continuous service enhancement and relationship building with the client
  • Handle sensitive and/or confidential documents and information
  • Performs Quality Assurance on own, and work of others, if required
  • Complete other administrative tasks as assigned by management
  • Adhere to Williams Lea policies in addition to client site policies
  • Use equipment and supplies in a cost-efficient manner
Who You Are:
  • High school diploma or equivalent required. Higher level education preferred or equivalent work experience
  • Minimum 2 years’ experience preferably in a legal, banking, venture capital or large corporate environment
  • Reception, switchboard or administrative assistant experience preferred
  • Proven customer service skills; hospitality focused, friendly and approachable
  • Proficient technical use of MS Office software (Word, Excel, Outlook), messaging systems, and job workflow tools
  • Strong verbal and written communication skills; self-motivated with the ability to work well with others
  • Ability to prioritize and establish work objectives
  • Ability to work in a fast-paced, team environment, working both independently and collaboratively
  • Excellent time management skills
  • Strong attention to detail with good organizational skills and emphasis on accuracy and quality
  • Ability to make independent decisions that conform to business needs and policy
