Receptionist

Position Summary
The Receptionist is for managing the front desk, greeting and directing visitors and providing administrative support to the organization.

Essential Responsibilities

Duties and responsibilities include the following (other duties may be assigned):

  • Answer and route calls utilizing a Ring Central phone system
  • Greet and assist clients in a professional and welcoming manner
  • Receive, sort, stamp and distribute mail per company procedures
  • Coordinate all outgoing mail & shipping
  • Manage printing vendor; ordering business cards, stationary, business forms etc.
  • Process Smith Emery reports, invoices and purchase orders per company procedures
  • Maintain office and janitorial supplies; ensuring company is receiving the best cost and value
  • Coordinate maintenance of office and postal equipment
  • Manage and update office phone system and company cell phone accounts
  • Ensure office cleanliness including monitoring janitorial service
  • Assist office staff as needed with correspondence, updating reports, spreadsheets, filing, copying, faxing etc.
  • Prepare new employee work space including computers, monitors, desk phone
  • Create Final Walk packets for Customer Care
  • Mentor high school interns during the school year
  • Order, organize, pick up or schedule delivery and distribution of weekly office wide lunch

Requirements

  • Minimum of 3 years of experience in a similar position
  • High school diploma or equivalent
  • Ability to handle multiple tasks concurrently and meet deadlines
  • Good typing and computer skills
  • Strong communication abilities
  • Hardworking, detail oriented and organized
  • Proficient in spelling, grammar and composition
  • Exceptional written and verbal communication skills, work well with others at all levels.
  • Excellent organizational, problem solving and time management skills for a busy position.
  • Must be self-motivated, have a professional demeanor, and a passionate drive to learn and improve.
  • Must have ability to work in a team environment, be able to prioritize tasks and meet deadlines, strong people skills, excellent attendance and work quality
  • Operate with integrity on all levels.

Working Conditions:

  • Will sit for extended periods of time, may need to stoop or stand on a stool to inspect office supply closet
  • Must be able to lift and carry up to 10 lbs.
  • Work environment involves some exposure to hazards or physical risks, requiring employee to follow and enforce safety measures

Compensation

  • Competitive salary ($33 per hour - $37 per hour)
