Position Description

Band/Level: Technician 6

This position will perform moderately complex auditing of the Public Safety Training Division’s files to ensure the Division is in compliance with all regulatory requirements set forth by accrediting bodies and internal WTCC guidelines and policies. This position will also assist Law Enforcement and Corrections and Detention with general clerical duties.

Responsibilities and Duties (*Essential Functions)

  • Audits files for the Public Safety Training Division

  • Prepares files for FTE audit

  • Monitors all file documents for current relevancy with guidelines

  • Identifies potential areas of compliance vulnerability and risk / develops and implements corrective action plans

  • Acts as an independent review and evaluation body to ensure compliance issues/concerns are properly addressed and resolved

  • Reports findings of file audit to the appropriate department

  • Coordinates maintenance of complex records; compiles, summarizes, and tabulates data; coordinates and performs data entry; prepares related reports

  • Answers telephone; responds to requests for information; and answers inquiries regarding rules, regulations, policies, and procedures

  • Researches information needed by the coordinator / director such as reports and correspondence to verify the status of a class file, an instructor file or lesson plan

Receives and reviews incoming documents, class paperwork and other relative information and file accordingly

Performs other related duties as assigned by management

Gathers records from the various departments and organizes effectively

Enters data from the records into appropriate databases, software programs and spreadsheets

Creates, files and organizes incoming documents on a daily basis

Adheres and complies confidential protocols and standards

Maintains class files as it pertains to ten percents and class grades

Inquires with outside agencies concerning student information

Assists in equipment check in/out process per request

Creates, files and maintains electronic course section database for law enforcement, corrections and detention courses

Qualifications

Knowledge, Skills, and Abilities:

Working knowledge of Wake Tech Community College internal policies regarding file maintenance

Working knowledge of NC Community College system office policy regarding fee waiver eligibility and affiliation letter requirements

Experience in auditing files based on compliance requirements set forth by regulatory and accrediting bodies

Proficient with Microsoft products and spreadsheets

Working knowledge of business English, good grammar and spelling skills, and ability to develop correspondence, reports and operational directives

Solid organizational and communication skills

Ability to understand and carry out moderately complex oral and written instructions; to make minor decisions in accordance with rules and regulations as they apply to work problems; to maintain company records; and to meet and deal effectively with the public and public safety employees

Minimum Requirements:

Associate's degree or equivalent combination of education and related experience

Must have a proven history of exercising discretion and retaining confidentiality

Preferences:

Two years of records / audit experience or office management experience
