The Department of Social Services (DSS) is comprised of the administrative units of the New York City Human Resources Administration (HRA) and the Department of Homeless Services (DHS). Human Resources Solutions (HRS) support the human resources needs of the Department of Social Services, the Human Resources Administration, and the Department of Homeless Services through strategic partnership and collaboration, with the goal of creating an inclusive, motivated, and client centered workforce.

Human Resources Solutions (HRS)/ HR Records Management (HRRM) is recruiting for a Clerical Associate III to function as an Imaging Clerk, who will:

  • Organizing and preparing personnel records for scanning and microfilming, which includes actions such as: removing staples and clips from documents; and ensuring that documents were placed within the correct category of document type.

  • Operating an image scanner, ensuring clear and accurate scanning of documents by categorizing document type for indexing, adjusting image resolution, paper size and orientation by using the scanning application's document image setting.

  • Reviewing scanned documents for accuracy and clarity to ensure they are ready for retrieval if requested.

  • Inputting critical document information into the web-based "One Viewer" system, by typing information into critical fields such as Employee Identification Number and research/ analyze "HRA One Viewer" data to ensure all identifying and category information matches correctly, checking for inconsistencies, and preparing error reports when inconsistencies are noted.

  • Submitting error change requests to MIS to provide them with the necessary information to update and correct erroneous data.

  • Maintaining and preparing personnel records in response to requests from authorized individuals by verifying record name and ID number and providing copies and/or microfilm of the documents.

  • Preparing documents for retention by ensuring they are filed alphabetically within the correct category.

  • Performing other related duties as needed.

Minimum Qual Requirements

Qualification Requirements
A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and one year of satisfactory clerical experience.
Skills Requirement
Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.
