The Sultan School District is one of the larger geographical school districts in the Puget Sound area, consisting of approximately 325 square miles. Sultan School District has approximately 2,000 students enrolled K-12. Students are currently served by two elementary schools, a middle school, a high school and an alternative high school; and the Sno-Isle Skills Center, a cooperative vocational technical school.

Located northeast of Seattle (seven miles east of Monroe) or about 20 minutes from the Woodinville area, Sultan is surrounded by a beautiful environmental setting. Our “backyard” is the scenic Skykomish River and Cascade Mountains. Sultan School District includes the community of Sultan, Startup, and Gold Bar. Students from Index attend Sultan High School.

The Administrative Secretary - The successful candidate will have an ease with technology, the presence to schedule and support administrators, the ability to remain focused despite interruption, and overall maintain a positive face of welcome.


ESSENTIAL FUNCTIONS
:

These statements are intended to describe the major purpose and responsibilities assigned to this job and are not intended to represent an exhaustive list of all responsibilities, duties and skills required.

  • Use various computer software applications to retrieve data, create reports and presentations, complete electronic forms using industry templates, write letters, create spreadsheets, submit/transmit documents to other governmental agencies, print letters and forms, send/retrieve/archive e-mail, Web based research, make copies, and other technical skills that would enhance the job
  • Coordinates the operation of the office: greets students, parents, staff and the public; answers a wide variety of telephone and in-person inquiries; promotes positive public relations for the district and the school.
  • Maintains a variety of detailed program records, such as budgets, student counts, enrollment, attendance and other administrative records for revenue tracking, revenue generation and legal compliance; compiles data and performs calculations; prepares a variety of reports.
  • Prepares and processes requisitions and purchase orders for the school and Associated Student Body (ASB) program; orders supplies, materials and equipment; processes, stocks and distributes materials; tracks expenditures and prepares reports; processes invoices and payment orders.
  • Serves as secretary to the building principal: composes, formats and types a wide variety of correspondence, memoranda, newsletters, bulletins, forms, reports, records and other materials; may take and transcribe dictation; duplicates and distributes materials; screens calls; maintains appointment calendar; schedules meetings; opens and routes mail.
  • Maintains and reports payroll records for building staff.
  • May coordinate the work of office assistants, student assistants and volunteers assigned to the office; provides training and guidance; assigns and reviews work.
  • Tracks a variety of deadlines to ensure timely completion and filing of a variety of reports and responses.
  • Provides first aid to ill and injured students; assesses need for emergency or parental contact.

OTHER FUNCTIONS:

  • Provides secretarial assistance to other administrators, teachers, specialists and parent volunteers as time permits.
  • Provides a variety of building and program services to create a positive learning and teaching environment.
  • May supervise students in the office; monitors behavior; listens to student confidences; refers problems to administrators, counselors, teachers or specialists as appropriate.
  • Serves as member of educational support team of the district; performs related duties consistent with the scope and intent of the position.

  • Required to adapt to shifting priorities and to frequently re-channel work efforts.

EDUCATION, LICENSE, CERTIFICATION, FORMAL TRAINING:

  • High school graduation or equivalent and four years of increasingly responsible office experience, including records maintenance, bookkeeping and customer service.
  • Allowable substitutions would be advanced training in business or secretarial procedures may be substituted for up to two years of the required experience on a year-for-year basis.
  • Experience dealing with school-aged children preferred.
  • Valid first aid and CPR certification
