JOB DESCRIPTION
Position Summary
Reports directly to the Director of Programs & Client Services. Welcomes, registers, and admits guests. Facilitates front office functions of the organization. Provides excellent customer service to all guests. Provides timely, knowledgeable, and pleasant interactions with clients, community, and volunteers who involve themselves in The Shade Tree and its programs. Supports the Case Managers and Client Advocates daily by completing intakes, monitoring chores, clerical tasks, assisting with house meeting agendas, office supply ordering for the Programs Department, and all other administrative responsibilities to include filing. Interviews, investigates, and verifies eligibility of potential and existing clients for various Shade Tree programs. They also answer questions related to services and make referrals when necessary. Pre-employment FBI background report, drug screening, TB Screening, and NV State CANs check required.
Essential Duties & Responsibilities
- Complete client intakes daily.
- Manage and resolve conflicts productively in a professional manner.
- Maintain confidentiality of records relating to clients.
- React to change in a productive and positive manner.
- Maintain professional dress and demeanor serving as a role model to residents.
- Operate telephone to answer and forward calls, provide information, and take messages.
- Analyze data to determine answers to questions from clients or members of the public.
- Provide information about the establishment, such as location of departments or offices, employees within the organization, or services provided.
- Take and distribute telephone messages to appropriate individuals in a timely manner.
- Perform duties such as maintaining a professional appearance of the lobby and reception area.
- Sort, distribute, and secure client mail in accordance with established policy.
- Accept deliveries to The Shade Tree.
- Maintains scheduling of Support Specialists client transportation assignments.
- Greet persons entering the establishment, determine nature and purpose of visit, and direct them to specific destinations.
- Answer telephones in a timely and professional manner.
- Communicate and interact with co-workers, clients, and visitors effectively and professionally.
- Inspect work areas and equipment to ensure conformance to establish standards in areas such as cleanliness, maintenance, and safety.
- Observe clients and be able to detect, stop, and report unusual behavior.
- Monitor and authorize entrance and departure of clients, visitors, and other persons to guard against theft and unauthorized access to the property.
- Maintain waiting list.
- Assist as required, in sending letters inviting applicants to provide updated/current documentation to support their eligibility for the program.
- Assist in the intake process and conduct intakes when necessary.
- Obtain necessary verification and other required information.
- Determine eligibility for the program.
- Explain program requirements.
- Assists with department audits.
- Assist in maintaining organization of client records and agency filing system.
- Assist with composing and compiling other statistical reports as assigned.
- Assists with compliance for end of the month data verification.
- Assists with the compliance of client files, monitoring, and data filing.
- Assist with Crisis Hotline calls.
- Assist in transportation to and from client events.
- Must have a valid Drivers License.

Education, Training and Experience Requirements
- Employment is contingent upon (1) a satisfactory FBI background report, (2) the passage of a pre-employment drug screening, and (3) a clear Nevada Child Abuse and Neglect Screening (CANS).
- High School Diploma or equivalent preferred.
- Establish and maintain an effective working relationship with volunteers, employees, agencies and the public.
- Must have a valid driver’s license and clean driving record.
- Must be able to work well under pressure and in a fast-paced environment.
- Must exercise good judgment.
- Excellent verbal communication skills. Must communicate with clients, co-workers and management.
- Excellent interpersonal and customer service skills.
- Basic understanding of administrative and clerical procedures and systems.
- Proficient with Microsoft Office Suite or related software.
- Minimum of two years in Human Services/Customer Service.
- CPR / AED Certified (within 90 days of employment).
Knowledge, Skills & Abilities
- Ability to prioritize and perform multiple tasks effectively.
- Ability to work independently.
- Ability to handle multiple tasks/projects simultaneously.
- Ability to organize/prioritize workload to ensure completion of all tasks within established time frames.
Job Type: Full-time
Pay: $16.00 per hour
