Position Description

Pay Grade: Assistant 5

This position assists in providing library services to all users and provides clerical support to the Individualized Learning Center

Responsibilities and Duties (*Essential Functions)

Library Duties:

  • Assists with acquisitions, collection development, circulation, reference service and input of bibliographic information into the online catalog
  • Perform tasks related to interlibrary loan functions through Community College Libraries in North Carolina services, including online searching, ordering, recordkeeping, and compilation of statistical reports, routing and returning inter-library loan materials from other libraries

Supports, and maintains the daily functional process of providing library services to all users

Prepares, processes, and shelves or re-shelves as needed books, AV, serials and other materials on a daily basis

Performs circulation duties, filing, and housekeeping

Provides high level of customer service, partnering with other library staff as needed to address exceptions and concerns

Individualized Learning Center Duties:
  • Maintains records and support assigned skills center(s) and referral systems
  • Maintains and updates various reports, using excel, word, etc.

  • Welcomes and receives students and other users to the ILC and register them for appropriate services and schedule appointments as needed.

  • Assists in the smooth operation of ILC Reception Center and facilitate the quiet flow of user traffic

Responsible for accurate record keeping of assigned tasks ( i.e. attendance, contract changes, electronic files for the ILC)

Answers questions and provide information about all ILC services (directions, function of ILC) by phone, in person, by email

Responsible for ordering keys and maintaining accurate assignment records

Completes an annual applied benchmark project on an individual or a group basis

Qualifications

Knowledge, Skills & Abilities:

Ability to demonstrate excellent customer service skills

Ability to exhibit good interpersonal skills and work well with others

Intermediate skills with MS Office products, automated systems, and personal computer applications

Ability to demonstrate excellent written and verbal communication skills

Ability to demonstrate excellent analytical and problem solving skills

Ability to demonstrate excellent organizational skills

Ability to demonstrate accuracy in shelving and filing of library materials

Basic knowledge of standard interlibrary loan practices and functions in an online environment

Basic knowledge of the Library of Congress Classification System

Ability to work with shared assignments as a team member

Excellent record keeping skills and the ability to perform responsibilities in a flexible manner with frequent interruptions

Must be able to answer multi-line telephone and handle all calls courteously and professionally

Requirements:

High school diploma or equivalent

Two years experience working with the public in a library or office setting

Office clerical experience that includes detailed record keeping

Preferences:

Associate's degree

Experience with Library of Congress Classification System

Experience with shelving and filing in a library setting

Experience with library operational activities including non-public service functions

Experience with standard interlibrary loan practices and functions in an online environment

Two years experience in an administrative support role in an office environment
