The Parks Permitting unit provides direct customer service and administrative support to those requesting various types of use permits for the City of Denver's parks and facilities such as athletic fields/courts, assembly/First Amendment, temporary vending, facility rentals, private fee-based activities, public events, special occasions, and tournaments. We serve hundreds of organizations and thousands of customers annually. Organizations served represent neighborhood groups/Registered Neighborhood Organizations, schools/districts, non-profit and for-profit organizations, youth and adult athletic organizations, as well as other City agencies. This team processes permits according to City policies and rules - ensuring safe and compliant use of Denver's prized parks and facilities.
The Staff Assistant will provide technical information, specialized assistance, and customer service to internal and external customers seeking use of Denver’s parks and facilities. This is a full-time, exempt, benefited position. Typical work hours will be 8:00 a.m.-4:00 p.m. (flexible), Monday through Friday. This position works out of the Montclair Civic Building on Tuesdays, Wednesdays, and Thursdays and from home on Mondays and Fridays.

This position will assist with and manage various permits assigned by Park District/permit type as well as several operational administrative tasks. Additional job duties and responsibilities include, but are not limited to, the following:
  • Interact professionally, courteously, and accurately with a high volume of customers in person, by phone, and email with a high level of patience. Resolve routine and sometimes sensitive issues autonomously
  • Serve as a first point of contact for customers inquiring about a variety of park and event facility permits
  • Review and evaluate applications and permit requirements to determine accuracy, completeness, and compliance. Meet set deadlines for the processing and distribution of permits and reconciliation of damage deposits. Generate permits by ensuring all requirements including paperwork, deposits, and payments are met
  • Maintain a high proficiency in permitting software use as well as software necessary to input information/data and to create, edit, compile, manipulate, and retrieve files and/or databases and create reports
  • Coordinate with Parks Maintenance, Parks Planning, The Office of Special Events, and other Divisions/City Agencies as appropriate
  • Coordinate with Park Rangers to ensure appropriate permit regulation enforcement
  • Conduct and analyze assigned permit area performance and industry trends to drive decision-making
  • Oversee assigned record keeping/file management, office/supply equipment inventory and purchasing, meeting scheduling, and other administrative tasks as needed
  • Attend and actively participate in departmental and business unit trainings and meetings
About You
We are looking for an enthusiastic, approachable, and organized professional with customer service expertise as well as strong verbal and written communication skills. Ability to be self-driven and demonstrate effective time-management and prioritization skills to thrive in a fast-paced, high-volume environment. In addition, this individual will have sound judgment in analyzing best outcomes for customers and have a keen eye for continuous process improvement opportunities. Additionally, our ideal candidate will have:
  • Recent permitting, scheduling, and/or event or program management experience for the public sector (preferably a municipality)
  • Experience applying policies, rules, regulations, and procedures to problems and explaining those policies, rules, regulations, and procedures to customers
  • Recent experience and proficiency with the following software programs:
    • Microsoft Office: Outlook, Excel, Word, Teams
    • ActiveNet
  • Flexibility to work evenings and weekends as needed

  • Education: Graduation from high school or the possession of a GED, HiSET, or TASC Certificate
  • Experience: Four (4) years of experience performing specialized and/or technical office support work of the type and at the level of Administrative Support Assistant IV
  • Equivalency: One (1) year of the appropriate type and level of education may be substituted for each required year of experience
