Physical Requirements
Under the direction of the Staffing Manager, the Staffing Specialist uses basic knowledge of staff scheduling policies to collect accurate information and is responsible for checking daily payroll and related data. Ensures hours are captured accurately, and that hours recorded add up to and are in agreement with time actually worked. Also tracks occurrences in the staffing database and sends reports to appropriate manager and/or supervisor for decision-making purposes.
Responsibilities:
Job duties specific to this position:
- Verifies accuracy of time cards of submitted to payroll.
- Checks cards against daily staffing sheet and call-in logs.
- Investigates any discrepancies and brings to manager’s attention.
- Maintains cards in organized filing system while processing to assure quick retrieval if necessary.
- Submits or ensures submission of completed time cards to payroll office before deadline.
- Brings possible problems with attendance or hours to the immediate attention of the Staffing Manager or Human Resources.
- Ensures pattern of hours worked/not worked is correct.
- Reviews time off requests quickly and accurately against required minimums and posts to master.
- Completes daily staffing sheets reflecting shifts worked, call-ins, vacation, other absences and occurrences. Ensures each sheet accurately reflects the individual staff assigned to each unit.
- Records regular days off and other approved time exactly as reflected on the master staffing schedule.
- Reviews calls from staff who will not be coming to work, ensuring time is coded correctly.
- Reviews correspondence from Staffing Manager and HR regarding employees out on leave, returning from leave, new hires, terminations, resignations, etc. and records in occurrence system.
- Notes the effects of call-ins and other personnel changes on occurrence cards.
- Maintains and records staffing information.
- Maintains a separate, clearly marked file folder for each payroll period.
- Maintains adequate supplies of all necessary forms and materials.
- Manages information effectively. Maintains confidentiality for staff and resident issues, and follows all data and technology privacy policies.
- Provides telephone coverage for Nursing Office staff.
- Maintains patience and a cooperative attitude in the face of conflict or discord among staff.

- Performs a variety of related duties as assigned.
- INDPRO
- High School diploma required. Associate’s Degree preferred.
- Prior scheduling experience desired.
- Accurate data input and typing skills required.
- Must be detail oriented.
- Excellent interpersonal, oral and written communication skills.
- Ability to maintain composure when faced with conflict.
- Proficient in MS Office and able to learn new software rapidly.
An equivalent combination of education and experience which provides proficiency in the areas of responsibility listed above may be substituted for the above education and experience requirements.
