Position Summary
The Student Life Assistant will work in the Office of Student Affairs (OSA) at Columbia Nursing. Reporting to the Director of Student Life, the Student Life Assistant will be part of a high-performing, dynamic team tasked with ensuring a high-quality experience for students in various OSA areas.
Responsibilities
Specific responsibilities will include, but are not limited to:
Supporting planning of new student Orientation each year including coordinating speakers, assigning student leader roles, and developing digital and printed communications.
Monitoring the SON StudentLife email inbox to timely and accurately respond to student inquiries.
Assisting in coordination of in-person and virtual student life events, such as career prep workshops, virtual employer week, and end-of-semester socials.
Coordinating outreach to employers and students for the annual Career Fair and other recruitment activities, including contacting external recruiters to purchase tables to support the events.
Facilitating student organizations including budgets, new organization applications, renewals, and handbooks, and guiding student club leaders & faculty advisors on policies & procedures.
Liaising with Student Council to support student initiatives and programs.
Facilitating the application and selection process to sponsor students attending professional development and nursing-related conferences.
Setting up student appointments between students and/or staff and Office of Student Life.
Updating and organizing content for the weekly Student Newsletter including information for student events & opportunities, job postings and program and disseminating to appropriate listservs.
Assisting in department hosted event planning, including setup/ breakdown, participation in events, creating flyers/invitations, handling RSVPs, ordering food, scheduling rooms, etc. as needed and assigned.
Utilizing Slate to create forms, track registrations, and communicate with current and incoming students.
Processing special request emails to students about university and school requirements such as Title IX training and university Community Citizenship orientation requirements.
Facilitating revisions for the Student Handbook, and coordinating Capital Day and other sponsored events each year including handing the student application selection process, travel and food logistics.
Processing registrations and payments for organizational memberships and professional development trainings/conferences for students.
Systematically tracking and paying invoices related to student events, guest speakers and consultants, using the P-card in compliance with University policies & guidelines, and monitoring and reconciling the Student Life budget.
Participating in events sponsored by OSA including Visiting Day, Orientation and Commencement.
Maintaining and cleanup of student data used for reporting and trend analysis; and maintaining and updating student and employer contacts and databases.
Supporting communication and implementation of relevant school policies, processes, and procedures to improve student experience by answering questions, distributing relevant forms to be completed by students.
Performing other projects, duties and coverage in OSA as needed and assigned.
Subject to business needs, we may support flexible and hybrid work.
Minimum Qualifications
Bachelor’s degree or equivalent in education, training and experience, plus two (2) years of related experience.
Preferred Qualifications
Experience and/or a strong interest in working in higher education.
Computer literate, with a solid background in Microsoft Word, Access and Excel, including merging files.
Excellent interpersonal and communication skills, both oral and written.
Ability to set goals and prioritize multiple tasks in a fast-paced environment, and work successfully under pressure, as a member of a team, and independently.
Detail-oriented and have the ability to exhibit excellent judgment and discretion, while maintaining confidentiality at all times.
Experience in student advising, and working with large database systems are desired qualifications for this position.
Knowledge of Columbia University’s Student Information System (SIS) and Technolutions (Slate) system.
Must also be willing to work more than the traditional work week when necessary.
