The Talent Acquisition Representative is responsible for performing a variety of support functions for the full cycle recruitment and onboarding experience. This includes contact with job seekers, and new-hires, tracking pre-employment requirements, monitoring pre-employment assessments process; trouble shooting for internal and external application process assisting with recruitment and networking events, maintaining department intranet content, providing statistical reporting, overseeing Employee Referral Program and providing analytical support to the Manager. This position partners with Talent Acquisition Specialists and hiring managers throughout the entire recruiting life cycle.
Essential Job Functions
- Greets, welcomes, and assists individuals who initiate inquiries regarding employment with the Health System. Provide high customer service for both phone and in-person inquiries.
- Answers employee, candidate or managers questions courteously, promptly, and accurately, based on policy and protocol. Refers to Talent Acquisition Specialist, Manager, or other area of the Health System as appropriate.
- Assists potential external and internal applicants with completing on-line employment application.
- Refers visitors to appropriate party as needed.
- Answers incoming phone calls in a courteous and professional manner.
- Maintains professional working relationship with all employees, applicants, visitors, callers, and business professionals.
- Completes transactions for hiring process for all internal transfers and external hires relating to Background check process, and applicable education and licensure job description requirements.
- Coordinates Act 153 and Act 33/34 clearances as required by law
- Collects all required background checks, including PA State Police, Megan’s Law, Inspector General, FBI, Motor Vehicle as applicable.
- Coordinates e-mail notifications for onboarding of all new hires in partnership with all the HR professionals at each facility.
- Maintains a confidentiality and integrity of all personnel files. Disperses information on a need to know basis only and with appropriate authorization.
- Initiates Educational and Employment verifications with third party vendor.
- Provides support for Talent Acquisition Specialists to expedite hiring process.
- Administers/Monitors Select International Assessment.
- Schedules candidate interviews based on agreed to process.
- Updates applicant activity documentation in ATS.
- Assist with application review per qualification requirements.
- Provide updates to candidates on application status.
- Assists with scheduling and attending meet and greet sessions with clinical rotation students.
- Back up scheduling of post offer physical exams.
- Assists with scheduling and preparation of packets for Manager and above interview process.
- Assists with preparation and represents Excela Health tat internal and external recruitment and networking/educational events.
- Provides back up for interviewing candidates, internal and external.
- Assists in training and onboarding new staff.
- Oversees Employee Referral Program for respective teams
- Maintains and updates program changes and related forms.
- Notifies employee of successful referral.
- Researches referral data to confirm accuracy and eligibility.
- Schedules payments according to appropriate time line.
- Provides statistical reports to monitor program success.
- Point of contact for fingerprinting process.
- Conducts Finger Printing process with scheduled appointments and limited walkins.
- Maintains communication with vendor for updates.
- Communicates to new hires and managers to assure compliance.
- Ensures appropriate clearance documentation included in employee files.
- Update and maintain departmental intranet site.
- Add appropriate communication and resources for internal job seekers
- Ensure all forms and resources are current.
- Keep Manager, Talent Acquisition up to date on intranet content.
- Performs various analytics,
- Ensures team supplies required metrics for Scorecard analysis on a quarterly basis. Creates and maintains variety of spreadsheets relating to job fair activity, affirmative action tracking, and any other as needed.
- Runs reports and provides analytics for Select International as needed.
- Maintains Job Fair/Advisory Board listings, and runs analytics relating to in house job fairs.
- Keeps current with social media efforts and updates to team on new venues.
- Monitors Sign-On Bonus Program and supplies payout information to payroll.
- Support Manager on special projects.
- Other duties as assigned.
Required Qualifications
- Associate Degree or higher level of education in Human Resources or related field.
- Two (2) or more years of experience in Human Resources or other business environment.
- Strong ability to communicate complex and/or controversial topics and concepts to a wide and diverse audience.
- Sound judgment, problem solving skills, strong oral and written communication skills, ability to follow directions from other team members; works independently assigned duties.
- Proficiency in Social Media platforms.
- Proficiency in the use of Excel Spreadsheets, PowerPoint, and various software programs.
- Proficiency in Microsoft Office including Outlook.
- Ability to multi-task and prioritize assignments in a fast-paced environment.
- Excellent Customer Service Skills.
- Highly organized and detail oriented
Preferred Qualifications
- Demonstrated knowledge of ACT 73/33/34 clearance requirements and related legal considerations.
- Experience with Lean/Continuous Improvement methodology.
- Experience with Applicant Tracking System a plus.
License, Certification & Clearances
- Act 34-PA Criminal Record Check from the PA State Police system
Supervisory Responsibilities
- This position has no direct supervisory responsibilities, but does serve as a coach and mentor for other positions in the department.
Position Type/Expected Hours of Work
- Incumbent will be scheduled for primarily day shift with occasional off shift recruitment or networking events.
- Travel may be expected locally between Excela Health locations and in the community.
