WHAT WE CAN ACHIEVE TOGETHER


The Team Coordinator, Strategic Events supports the Events team by conducting industry research, liaising with vendors and working closely with internal partners to ensure event day success. They provide administrative support for the team as well as on-ground support at events as needed. They track project results, report findings and provide strong attention to detail throughout the event lifecycle. They are responsible for a variety of administrative and support tasks, which include domestic and international travel arrangements, calendar management, drafting correspondence, processing expenses and invoices, and scheduling and coordinate logistics of meetings and events. They will use available systems and resources to maintain, track and research data, and produce and review reports for supervisor. They will provide guidance in satisfying administrative requirements based on extensive knowledge of policies and procedures. They will implement processes and practices to improve effectiveness. The Assistant II will coordinate activities with multiple variables, setting realistic deadlines and managing the timeline. They will communicate on behalf of supervisor with staff in various programs across the Conservancy; as well as with donors, vendors, and business relations. They will effectively communicate or distribute information to assist staff in making decisions, solving problems, and improving workflow. They will perform administrative functions for program, as required. Travel will be required for this role (US and/or international).

As Team Coordinator, Strategic Events, you will:

  • Provide administrative and on-site support to the events team to ensure effective and successful planning and delivery of in-person, virtual and hybrid events.
  • Create and manage project plans.
  • Support venue and platform research, demos and site visits.
  • Conduct industry and competitive research.
  • Coordinate event production such as name badges, signage, and other print materials
  • Help compile and draft event content for the mobile app such as venue information, travel information, etc.
  • Provide event day support including event set up and registration, attendee engagement and communication plans.
  • Work closely with the team to support the financial workflow for events and the events team.
  • Support the team with event budgeting and reconciliation.
  • Coordinate payment with venues/caterers and any other vendors.
  • Additional responsibilities may include assisting with other meeting schedules, event- related correspondence, travel planning, and onsite participation at events.
  • Oversee shipping/tracking of event materials.
  • Partner cross functionally with teams across TNC.
  • Other related duties as assigned.

WHAT YOU'LL BRING


Minimum Qualifications:

  • Bachelor’s degree and 2 years’ experience or equivalent combination.
  • Experience generating reports and interpreting data.
  • Experience in business writing, editing, and proofreading.
  • Experience organizing time and managing diverse activities to meet deadlines.
  • Experience working across teams and communicating with a wide range of people.

Desired Qualifications:

  • Purpose-driven mindset to drive organizational outcomes and conservancy goals
  • Ability to adapt quickly in an agile environment and problem solve
  • Highly motivated to learn and grow within the events space
  • Multi-lingual skills appreciated.
  • Multi-cultural or cross-cultural experience preferred.
  • Experience writing, editing and proofreading written materials.
  • Solid knowledge of technology with ability to produce reports, use mail merges and advanced Excel, Outlook and Word functions.
  • Strong organization skills and exceptional eye for detail.
  • Ability to coordinate efforts and organize in order to complete assigned tasks/projects
  • High level of proficiency with relevant technology such as Microsoft Suite needed for communications, developing reports and managing calendars.
  • Comfortable and confident when supporting members of events team and sharing ideas and experiences.
  • A positive, problem-solving attitude.
  • Thrives in a team environment.
  • Ability to manage multiple projects in a changing and fast paced environment.
  • Communicate clearly and effectively.
  • Strong starter who takes initiative to push projects forward
  • Good manager of time and prioritization
