The Oxford Hills School District is seeking excellent candidates for a year-round secretary position at the bus garage. This position is an immediate opening.


Brief job description:

Under the general supervision of the Transportation Director, the Secretary is the coordinator for the drivers on the road. They answer the telephone, and radio, and assist anyone that comes into the office. You plan and schedule each drivers route, call substitutes as needed, and dispatch a fleet of school buses and vans. Schedule transportation and oversight of field trips, athletic trips, and co-curricular trips. You also complete various office duties


Candidate must have good computer and organizational skills with the ability to maintain confidentiality. Excellent communication skills with parents, staff and the community are a must. Knowledge of student transportation, and prior secretarial experience preferred.


Qualifications:

  • Knowledge of surrounding geographic area to ensure effective and efficient routing
  • Ability to organize and prioritize time to balance conflicting demands related to needs of the community and drivers
  • Ability to communicate effectively with colleagues and the community in fast-paced and/or stressful environment (interpersonal & telephone skills)
  • Ability to function in a fast-paced environment, under substantial pressure
  • Ability to work within the appropriate level of independence
  • Ability to problem solve
  • Ability to operate two-way radio systems
  • Ability to use office machines (scanner, copier, zip drive, telephone system)
  • Ability to use Google sheets, docs, drive, maps ect. and computerized routing software
  • Ability to read road and street maps
  • Ability to keep organized and accurate records relating to overall dispatch and routing responsibilities


Responsibilities:

  • Directs and monitors daily assignments; schedules drivers, bus aids and assigns vehicles to ensure daily coverage of all routes, field trips and sport trips
  • Handles heavy phone and radio traffic
  • Serves as primary communication liaison with school staff, guardians and drivers
  • Communicates all relevant details of driving assignments to drivers to ensure proper execution
  • Handle charter reservations, and billing
  • Completes assignment of special projects
  • Assists the Director with day-to-day operations
  • Communicates all relevant details of driving assignments to drivers to ensure proper execution
  • Assist drivers with routing directions and directs them to perform special services when required
  • Handles concerns and requests for information in an expeditious and professional manner
  • Maintains route documentation and records (relevant, school information, student data, route changes, relevant maps, vehicle details, bus assignments, driver details) for the purpose of providing accurate and reliable information complies with district requirements
  • Maintains Drug and Alcohol testing program
  • Data entry
