Treatment Coordinator (Part-Time) Job at Guidry & Horaist Orthodontics (Crowley)
POSITION SUMMARY
The Treatment Coordinator is responsible for promoting practice growth through effectively implementing administrative procedures and a positive, professional presentation as a member of the front desk team. This position will project the positive, friendly atmosphere of our practice by welcoming all visitors in a cheerful and professional manner. The Treatment Coordinator is a liaison between the doctor and the patient and assists in the gathering of information in the new patient experience, as well as coordinating a treatment plan with the doctor and presenting it to the patient. This position should remain knowledgeable about the treatment and timelines, and they are prepared to negotiate financial arrangements with the clients. They also coordinate, as needed, with other offices who share in the care of patients, making sure referrals and correspondence are received and followed up on.
WORKING CONDITIONS/PHYSICAL REQUIREMENTS
- Sitting 50%.
- Standing or walking 50%.
- Moderate noise levels from dental and other lab equipment.
- Medical, office, and lab setting.
- Exceptional hand dexterity and typing skills to work with standard software programs provided.
- Good mathematical aptitude in order to prepare and interpret financial and productivity reports for the practice.
- Frequent client and interoffice personnel interaction as this position meets and greets patients and is heavily dependent on excellent customer interaction!
- Hearing – Must be able to hear telephonic equipment and comfortably communicate with patients and others by telephone and in person.
- Near Vision - The ability to see details at close range (within a few feet of the observer) as required for business software, and operating office machines.
- Exceptional hand dexterity and typing skills to work with standard software programs provided.
RESPONSIBILITIES
- Call to confirm new patient exams a day prior to introduce yourself and let them know what to expect.
- Acknowledge all visitors promptly, regardless of task at hand.
- Telephone: answer appropriately, record, and retrieve messages.
- Retrieve messages and e-mails and act upon them.
- Welcome patients and visitors into office with cordial greeting and a smile and offer a bottle of water.
- Able to take fully diagnostic records to include photographs, radiographs and intraoral scans.
- Manage new patient cancellations and rescheduling.
- Be present during comprehensive exams to understand patient treatment needs and doctor’s notes.
- Ensure patients understand their treatment plan and handle objections to proposed treatment.
- Schedule appointments in consideration of production and capacity.
- Determine benefit eligibility, limitations, and payment estimates necessary to facilitate financial arrangements.
- Coordinate treatment starts, corresponding letters, treatment requests, phone calls to dental professionals and patients for treatment updates
- Maintain the consultation room in a neat, orderly, and welcoming manner.
- Assist in maintaining and developing systems such as checklists to verify workflow and streamline patient care.
- Accept and record payments made at the time of service, via mail and telephone.
- Present financing options and make necessary arrangements.
- Be knowledgeable in the operation and maintenance of equipment at the front desk.
- Make courtesy calls for treatment follow-up such as post-op calls, when necessary.
- Execute outreach strategies to include delivering gifts to business partners.
- Provide practical imaging, x-ray, and scanning training to staff as needed.
- Completely cross-train to assume Financial Coordinator and Scheduling Coordinator responsibilities when necessary.
- Maintain records of consultations to allow for follow up phone calls to pending status patients.
- Maintain observation and recall lists to ensure 6 month follow up examinations are scheduled.
- Additional responsibilities as needed and as appropriate.
REQUIREMENTS
- Good interpersonal skills to maintain positive rapport with patients, orthodontists, other staff members and community.
- Effective verbal skills to communicate clearly and professionally with patients and staff.
- Professional personal presentation.
- Always maintain the highest level of confidentiality to HIPAA standards.
- Must be detail oriented in order to prepare and process business correspondence.
- Must be flexible and understand that job duties may change from time to time and that this individual may be asked to assist in other areas of the office.
- Must demonstrate good reading comprehension by understanding written sentences and paragraphs in work related documents.
QUALIFICATIONS
- Minimum education of a high school diploma or GED.
- College degree preferred
- Two years of experience in a dental setting preferred.
- Minimum of three years of customer experience preferred.
- High level knowledge of Orthodontics and associated treatment planning preferred.
- Computer literacy.

- Wednesday-Thursday 8:00am-5:00pm

Pay: $14.00 - $20.00 per hour
