Duties and Responsibilities:
· Assist with maintaining SCCAA’s accounting in accordance with SCCAA needs, governmental accounting standards and reporting requirements, internal controls and generally accepted accounting principles
· Record, classify, analyze and report data and/or records related to agency financial transactions
· For assigned grants; Monitor all 1) grant receipts and expenditures, 2) projected cash flow needs based on past experience and future expectations, and 3) spending to ensure that expenses are within budgetary guidelines.
· Provide ongoing training and technical assistance within the department as well as with each program area, to ensure 1) the accuracy in the account codes used to record transactions, 2) budget development and subsequent revisions, and 3) adherence to federal, state and local policies, procedures and Finance accountability standards.
· Complete all assigned general ledger reconciliations, as well as related payroll journal entries and reconciliations. Maintain responsibility to ensure the accuracy of all necessary journal entries and cash receipts
· Maintain the fixed asset accounts in the accounting system as well as the backup documentation.
· Reconcile non-federal share paperwork and create the journal entries.
· Meet filing deadlines for weekly, monthly, quarterly and annual financial reporting documents that summarizes or reconciles financial statement transactions including budget to actual data, balance sheet, revenue and expenditure reports and other related reports to grantors and others, as required or requested.
· Maintain responsibility to ensure the timely preparation of reimbursement requests or documents necessary to draw down cash for assigned grants and obtain or refund grant or other cash outlays upon approval by the Finance Director.
· Responsible for updating insurance and long-term debt documentation (if any), processing and reporting, including loans, leases, equipment or any other deferred revenue or prepaid and accrued agency expenses. Reconcile identified accrual accounts at least quarterly, if not monthly.
· Ensure the on-going maintenance of an up-to-date centralized file and set-up of the coding in the accounting system for all assigned grant applications and awards, including approved budgets and any subsequent revisions made.
· Assists in preparing audit schedules and works with external auditors and other agency department staff in pre-audit preparation and in locating or interpreting SCCAA accounting records and supporting documentation.
Skills and Specifications:
Education: Bachelor’s Degree in Accounting preferred and/or a minimum of 5 years non-profit accounting experience related to federal or state grant awards. Grant accounting experienced preferred.
1. Comprehensive knowledge and experience with accounting principles, internal controls, cost allocations and allowances, especially related to federal and state funding and/or non-profit organizations.
2. Possess strong organizational skills, exercise good judgment, and a demonstrated ability to provide leadership in a team environment. Must meet all reporting deadlines.
3. Extensive knowledge and experience with accounting and computer software and equipment.
4. Strong communication, organizational and customer service skills with employees, external partners, grantors and the general public are essential. Must maintain confidentiality of all documents and materials processed.
5. Advanced Microsoft Excel including pivot tables. Experience with MIP is a plus.
