General Description
The Parks, Recreation, & Forestry Department is seeking an Accounting Assistant to perform specialized accounting and financial functions of moderate to considerable difficulty. The ideal candidate will be self-directed and attentive to details.
Work Schedule: * Monday - Thursday, 7:30 a.m. - 5:00 p.m., plus rotational hours on Fridays from 7:30 a.m. - 11:30 a.m.*
No Residency Requirement.

Examples of Duties
- Responsible for training and oversight of Rectrac and system users of point of sale and reservations system and serves as backup supervisor for all clerical staff of the Parks administrative division.
- Responsible for all accounts payable and receivable functions. Processes invoices for payment, enters requisitions, and ensures electronic receipting against purchase orders. Maintains all related materials. Monitors division procurement card system, monthly purchases, and staff reporting procedures. Maintains accounts payable files.
- Processes deposits and balances revenue receipts. Prepares and audits change funds. Prepares invoices for services provided by the Department for seven divisions. Develops and maintains accurate revenue, attendance, and sales tax reports. Tracks open receivables and coordinates the collections process. Manages the WPRA ticket sales and annual boat launch program.
- Serves as administrator of the Department’s recreation software program. Maintains fees, facilities, points of sale, and general ledger codes.
- Department procurement coordinator for all requisition entry, receiving on purchase orders and the purchase card program. Enters all requisitions for equipment and projects, receives on materials, equipment and purchase order conversions.
- Manages procurement of all office supplies and maintains office machines. Tracks clothing and tool allowance programs.
- Creates and processes various reports including, but not limited to, the annual right away report, monthly sales tax payable report and journal entries, and daily cash receipting and deposits.
- Assists with other accounting projects, financial reporting, internal audits, annual financial and tax audits, and the security of sensitive data. Assists with annual budget preparation and execution. Monitor’s annual funding and project funding.
- Responsible for making reservations, registrations, and travel arrangements, and reimbursements for Park and Recreation Department.
- Performs other duties as assigned.
Minimum Qualifications Required
- Associate degree in accounting or related field
- Three to Five years office experience with an emphasis in accounting, finance, or bookkeeping related duties.
- Valid driver’s license and good driving record.
- Prior supervisor experience desirable.
A combination of equivalent experience and/or education may be considered.
Knowledge, Skills & Abilities
- Proficient knowledge of accounting and bookkeeping practices and procedures, including basic office procedures. Proficient knowledge of business English, spelling, punctuation, and grammar. Working knowledge of creating business letter forms and general filing procedures.
- Considerable skill in performing mathematical computations rapidly and accurately. Proficient skill and ability to create and edit spreadsheets and prepare documents, and operate a variety of office machines.
- Ability to learn and adeptly apply departmental rules and regulations. Ability to proficiently use a computer and the required software, including spreadsheets. Ability to understand and carry out complex oral and written instructions and complete tasks quickly and independently. Ability to communicate effectively both orally and in writing. Ability to establish and maintain effective working relationships with staff and the public. Ability to work the required hours of the position.
Typing and other testing tools will be used to assess skills.
