Essential Duties and Responsibilities

The Cuyahoga County Court of Common Pleas Juvenile Division operates a number of branch offices which requires Administrative Assistant 1 to greet clients, staff, answer phones, transcribe dictations, and other job duties as described below.
Types all Placement Aftercare Unit Family Record related documents, correspondence, etc., prepared by Placement staff and supervisor.
Maintains Placement Unit records/folders including a detailed log of department requests for materials.
Performs clerical duties in assigned office including, but not limited to, receiving, sorting and distributing mail; maintaining and organizing office supplies; filing; copying.
Confers with Manager routinely to set workflow priorities and assist with evolving needs.
Receives and greets youth and/or family or other individuals in waiting room or office. Manages telephone calls and email communications, and responds accordingly providing requested information, taking messages, etc.
Serves as a substitute or replacement as required and/or assist other Administrative Assistants from other branch offices as called upon to type, complete reports, file, sort, copy, complete special projects, take messages.
Performs other duties/assignments as directed.
Supervisory Responsibilities
Has no direct supervisory responsibility for staff members.
Equipment Operated
Standard office equipment and office technology such as copy machines, personal computers and telephones.
Confidential Data
All court-related information regarding hearings, etc. that the employee may come in contact with by working in the facility.
Working Conditions
Works in a general office setting with moderate noise levels.
Must be flexible in work location and willing to provide services to more than one Probation unit.
Usual Physical Demands
While performing the duties of this job, the employee is required to sit, to speak clearly, and to hear. The employee must occasionally lift and/or move up to 10 pounds.
Knowledge, Qualifications, Skills, and Abilities
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
Ability to type 35 WPM on automated system, use proper grammar and spelling, and organize work assignments to complete work in a timely manner. Able to establish and maintain work relationships, communicate in a pleasant and cordial manner, greet the public and properly answer telephones, respond to supervision, follow directions and maintain confidentiality. Some analytical ability required to gather, sort, tabulate and summarize reports in relation to staff performance. Ability to perform various clerical functions. Must be alert, able to handle stressful situations and use good judgment in notifying appropriate individuals to deal with problem situations in the office. Should be work oriented, responsible, mature, dependable, and able to function independently.
Education and/or Experience
Minimum requirement of High School Diploma or equivalent.
AND
Three (3) years prior work experience in a clerical or secretarial position. Reception background helpful, but not necessary.
