SUMMARY
Responsible for the execution of HKS’s and HKNC’s Mission, goals and objectives by providing administrative support to the region, and managing invoicing and FMP region database. Responsible for managing daily office procedures and overall communications to support the Regional Representative.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Provides administrative support to regional office and regional services coordinator including answering emails, answering telephone calls, drafting memos, typing and faxing documents.
- Creates, maintains, and manages financial record keeping, reports, files and data including travel reimbursements.
- Organizes and processes work in a timely manner, including responding and follow up to requests from consumers, service providers and others.
- Prepare and process reports in a timely manner.
- Manage data in File Maker Pro. Run reports as needed
- Maintains the general office area, including office equipment.
- Orders and maintains office supplies.
- Prepare, generate and disseminate all HKNC Regional Representative reports;
- Manage email correspondence, telephone calls, typing/scanning and faxing documents;
- Input and analyze mathematical and budgeting data;
- Provide training to existing and new staff with FMP, KLAS database and Outlook calendar;
- Management of region state contract services and fee schedules;
- Compile monthly IRs, EOMs, quarterly and annual reports for region(s), and AmEx;
- Utilize process for approval: supply and equipment requisitions, check requests, travel expense reports, invoices, TTRs, and other requests;
- Disseminate HKNC-related material to region(s) contacts, including HKNC program & professional learning announcements, & DBAW;
REQUIRED EDUCATION and/or EXPERIENCE
- High School graduate/equivalent; college or secretarial school graduate
- Knowledge of Financial Record Keeping
- Minimum of 3 years work experience in Administrative/Office Management
- Use of computer hardware and software programs (MS office, MS Teams, Adobe, Zoom)
- Use of Network Drive, databases FMP and KLAS, and National Registry Form
- Computer literacy (outlook, internet explorer, chrome)
- Knowledge in utilizing FileMaker Pro (FMP), and KLAS database, where appropriate, and export and aggregate data for reports per request;
PREFERRED EDUCATION and/or EXPERIENCE
- College or secretarial school graduate
