Overview:
The Clerical/Support Services is responsible for ensuring smooth office flow and providing excellent customer service. Performs general
administrative duties and data entry.
Responsibilities:
  • Assemble informational materials or packets as requested
  • Assist with generation of reports, including data gathering via the computer system, printed reports or other available information
  • Responsible for processing supportive services including reviewing supportive services forms, contacting client to verify address (if needed), order items and verify receipt
  • Enter comments in project specific system(s) for supportive services in accordance with State requirements
  • Assist with ordering office supplies
  • Maintain inventory supply list and ensure office supplies are fully stocked
  • Keep organized records of all orders to be sent to Manager and/or Accounting on a monthly basis
  • Distribute, track and reconcile transportation (bus passes & gas cards)
  • Distribute, track and reconcile debit cards (internet and cell phone)
  • Obtain client signatures
  • Responsible for all documents to be uploaded into electronic case file system
  • Maintain Shared Drive for the Project
  • Perform general office clerk duties
  • Other duties as assigned
Qualifications:
  • High School Diploma or GED equivalent
  • Excellent internal and external customer service skills, including a positive attitude and good listening skills
  • Be able to work with people from various backgrounds and with various needs
  • Able to multi-task, work independently, with excellent organizational and time-management skills and have strong attention to detail
  • Knowledge of Microsoft Office software and able to work in many different programs including client database, excel, word and power point

GENERAL SUMMARY


The Operations Specialist – Attendance Tracker reports to the Operations Supervisor or Designee and is responsible for accurate and timely data entry, validate attendance and participation documents, and complete attendance request outreach efforts (internship sites, businesses, or clients).


ESSENTIAL JOB RESPONSIBILITIES


  • Accurately enter data into State systems
  • Complete attendance request outreach efforts (internship sites, businesses, or clients).
  • Verify attendance and participation documents
  • Create reports, complete basic data analysis, and offer recommendations to Operations Supervisor and team (including data gathering via the computer system, attendance and participation documents, or other available information)
  • Maintains precise record of attendance and provide summary reports of activity
  • Preform quality analysis of scanned document, ensure accuracy and readability of records, and save in the correct file location following State handbook guidelines and scan codes
  • Spot check to make sure documents and files are under the correct code; scan and validate documents
  • Develop and communicate best practices to Operations Supervisor and team through written workflows or small unit trainings
  • Promptly answers incoming calls and respond to voice messages within 24 hours of receipt
  • Other duties as assigned that support operational or administrative work flows


QUALIFICATIONS/EDUCATION


High School diploma or GED. 1-2 years clerical experience in an office setting preferred; additional education not required but desirable


Must be proficient in Microsoft Office Suite


Requires good organization skills


Strong interpersonal skills and the ability to communicate clearly and professional


Must have professional oral and written communication skills; good grammar, spelling and typing skills


Must be able to handle sensitive materials and maintain confidentiality

WORK ENVIRONMENT AND PHYSICAL DEMANDS


Extensive standing, sitting, computer, phone, and deskwork required; some kneeling and lifting of up to 10 pounds required; work primarily in a defined office environment with specified hours, although flexible hours including overtime may be required; interacts one on one and in groups with individuals from a diverse range of backgrounds.

Salary Range: USD $17.48 / Hour
